Full Job Description

Status: Part-time-Up to 30 hours a week-will varydue to projects (non-exempt)

Reports to: Director of Development – Northwest Trek Foundation

Salary: $20 - $24 per hour based on qualifications
Job Summary
The Development Manager is a part-time professional position responsible for providing administrative, accounting, and database support for the NW Trek Foundation. This position also assists the Development Director on a as needed basis. The bulk of this position will include day-to- day operational support of donor gift communication including letters, reporting, database management, gift processing, invoicing, working with contract accountants on monthly reconciliation, sales fulfillment from Adopt-A-Species program, manage MPT Legacy Giving campaign, and other stewardship tasks including thank you calls, notes, and invitations. In addition, this position will work collaboratively with the Director of Development and the NW Trek Foundation Events committee, to plan and execute 2-4 events per year.

The Northwest Trek Foundation is a Washington State registered 501(c) 3 non-profit organization that promotes conservation, education, and recreation to a regional and national community through the unique display of Pacific Northwest native wildlife in their habitats at Northwest Trek Wildlife Park in Eatonville, Washington.
Specific Duties
Donor Database & Gift Processing

  • Process donations using Bloomerang, reconcile incoming cash, checks and credit cards, and complete bank deposits
  • Manage users, updates, and clean-up to the donor database software
  • Inputting, receipting, tracking and coordinating of confidential donor information in a timely manner
  • Establish and maintain the organization’s electronic and paper file systems, as needed
  • Research and evaluate prospects within donor database and in community
  • Input, design, run and manage applicable reports from, to support development plan, event and donor invitations, stewardship, etc.
  • Process and fulfill Adopt-A-Species transactions and ticket/membership donations to local organizations
  • Manage MPT Legacy Giving campaign, including promotion of the campaign, gift records and gift acknowledgment

Accounting: Payable/Receivables

  • Provide the Foundation’s contract accountants with monthly/quarterly/annual reconciliation between Bloomerang and bank account
  • Assist in creating and processing invoices and payment vouchers for the organization
  • Provide support for the Foundation’s contract accountants, including annual audit/review support

Event Management

  • Working collaboratively with the NW Trek Development Director, and the NW Trek Foundation Special Events Committee to implement annual fundraising and stewardship events for the organization including logistics, volunteer management, and budgeting
  • Leads annual online auction, including the Greater Giving web platform, procuring donations, advertising for the event, and develops graphics to support events both online and in print.
  • Coordinate with the Board Special Events Committee to support needs associated with the event plans.
  • Assist by providing oversight of the event platforms to reach revenue goals

Social Media

  • Develop a comprehensive content strategy plan for the organization.
  • Develop graphics for social media posts, campaigns, and promotions in alignment with organization goals/events and branding

o Schedule posts on platforms, as needed

  • Assist with updating organization website and event platforms with project timelines of events, marketing needs and communications for the Foundation.

Other Tasks

  • Assist in providing stewardship to new/existing donors such as thank you calls, personal invitations, etc. Provide support for special projects, fundraising events, activities and donor recognition events as needed
  • Assist in the writing, preparation and mailing of correspondence including, but not limited to, letters, acknowledgement of donations, pledges, in-kind gifts, pledge reminders, end-of-year statements and other mailings

Qualifications

  • Bachelor’s degree or equivalent experience
  • Minimum 3-5 years demonstrated administrative development experience within a non-profit environment preferred
  • Minimum 2 year’s experience with a CRM donor management system, Bloomerang and Greater Giving preferred
  • Microsoft Office proficiency required
  • Experience creating documents, queries, mail merges, labels and forms
  • Advanced level proficiency and experience with word processing, spreadsheets, and other related business management software
  • Highly developed interpersonal skills, curious, an affinity for both establishing and managing relationships, and demonstrated high level of confidence and poise – and likes having fun
  • Team-oriented, willing to step in and help wherever/whenever needed to support the organization and be comfortable in a small staff environment
  • Must be able to work under pressure, anticipate project needs, discern work priorities, assess problems, develop solutions, and deploy limited resources effectively and independently

Physical Factors/Working Conditions

  • Indoor office environment with possible remote access option with supervisor approval
  • Occasional use of personal vehicle, with mileage reimbursement
  • Medium lifting of supplies, chairs, tables, etc. (~45 lbs) Involves non-regular hours for monthly Board meetings and 2-4 special events per year, which may involve weekends
  • Proof of Covid-19 vaccine by a pharmacy or healthcare provider required
