Posting Summary
Rutgers, The State University of New Jersey is seeking a Senior Practice Manager in Ambulatory Care Services at Robert Wood Johnson Medical School.
The primary purpose of the Senior Practice Manager is to provide effective leadership, mentoring, and oversight of the Practice Managers/Faculty Practice Managers (or assigned clinical sites) to direct overall operations of the clinical practices and implement strategic initiatives set forth by Rutgers Medical Group and RWJBH Executive Leadership. The role will also focus on clinical role delineation and implementing standard work across the Ambulatory spectrum. This role provides guidance and sets norms and goals for the activities overseen by the Practice Managers/Faculty Practice Managers. Those include efficient and effective daily operations, general administration and accountability of the practice, including but not limited to personnel, budget oversight and performance, patient through-put, the billing cycle, patient scheduling, registration, patient co-pay collection, coding performance, timely claim submissions, denial analysis, denial/appeals process, training, clinical operations and other related clinical practice support. Provides opportunities for practice’s personnel (faculty and staff) to achieve service delivery objectives set for the clinical practice. Ensure compliance with University policies and procedures and various accrediting bodies and government agencies.
Among the key duties of this position are the following:
  • Provide operational and clinical leadership for assigned Departments and Sites. 
  • Works with Practice Managers to implement standard work by role delineation and optimize care team models. 
  • Works with CNO and Regional Director to implement standard work for all clinical and administrative staff. 
  • Provides guidance on all matters affecting the clinical practice including setting norms for clinical and administrative supervision of clinical practice personnel (front desk, billers, and clinical staff).
  • Coaches Practice Managers effectively on personnel matters, including staff functions, work assignments and task distribution. Identifies education and training opportunities for clinic personnel and creates trainings when appropriate. 
  • Provides performance feedback and guides goal setting for Practice Managers and ensures that clinical staff is evaluated on their knowledge of and adherence to the clinical practice’s policies and procedures. Creates opportunities to provide appropriate management interventions in an effective manner. May contribute to the performance evaluations of clinic personnel. 
  • Performs and recommends the hiring, firing, training, performance recognition/assessment, discipline, timekeeping, record keeping, policy implementation, promoting and other personnel actions. 
  • Performs personnel management functions such as establishing personnel qualification requirements, drafting procedure manuals and installing record and reporting systems. 
  • Prepares analytical reports concerning patient care services, the clinical revenue cycle, and billing/coding errors/trends. Initiates studies to evaluate effectiveness of clinical practice personnel in relation to their objectives, costs and volume. Compiles statistical data and writes narrative reports summarizing findings and recommendations. Engages in studies and investigations related to improving delivery of services and practice efficiency.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
Certifications/Licenses
  • Bachelor’s Degree in a relevant social or health care field; plus seven (7) years of related experience
  • Prior supervisory or lead experience. 
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities
  • Strong verbal, written and interpersonal communication skills. 
  • Capable of exercising sound leadership and management skills.
  • Demonstrated knowledge of the clinical revenue cycle, including thorough knowledge of billing/coding regulations and practices. 
  • Demonstrated interest and participation in professional, educational and research activities. 
  • May be required to work evenings and weekends at various locations depending on need. 
  • Outstanding human relations and leadership skills, and the ability to function in a team environment. 
Preferred Qualifications
  • Seven (7) years of related experience in a professional practice setting.
  • Clinical credential (MSA, ENT, LPN, RN, etc) or graduate degree (MBA, MHA, MSW, etc).
  • Knowledge of how to accomplish superior performance in a unionized environment.
