Job Summary
This position will provide administrative and financial support for select faculty and their labs in the Department of Anatomy. This includes preparation of projection reports, process reimbursements, coordinate travel arrangements, and prepare financial journals. This position will also provide general department support such as maintenance of equipment inventory, yearly space inventory, and other duties as assigned. The purpose of this position is to provide support for faculty and administrative operations in the Department of Anatomy and the Department of Microbiology and Immunology. Duties include administrative, financial management and reporting, and project management support. 50% of this position supports 4-5 faculty members in the Department of Anatomy with the remaining 50% supporting the a U01 grant in the Department of Microbiology and Immunology. This position is a hybrid position that requires the incumbent to be on site for part of the week and remote work for the remaining days.
Department Description
The Department of Microbiology & Immunology is a basic science department within the School of Medicine that performs scientific research, training and teaching at Mission Bay and Parnassus Heights. Research in the department focuses on areas related to infectious diseases, immunology, and cancer. There are 18 full-time faculty members in the Department. Our department also provides advanced research training to more than one hundred Postdoctoral Fellows. Graduate students working towards their Ph.D. degree are enrolled in the Herbert W. Boyer Program in Biological Sciences (PIBS) or the Biomedical Sciences (BMS) Graduate Programs, depending on their research emphasis.
Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Ability to use sound judgment in responding to issues and concerns.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
- Ability to use discretion and maintain confidentiality.
- Ability to understand, learn and operationally utilize Information Technology systems such as MyCores, Bearbuy, MyExpense, HBS, MyReports, Connexxus, Peoplesoft, ServiceNow
- Must be a team player and thrive in a collaborative environment with excellent organizational, analytical, and problem-solving skills. Ability to work independently and with a team, demonstrate initiative, prioritize assignments, meet deadlines and problem solve on an ongoing basis, including identifying obstacles and processing problems and recommending solutions. Must be detail-oriented and have the ability to multi-task on an ongoing basis to complete routine-to-complex assignments.

Preferred Qualifications
- Working knowledge of common organization-specific and other computer application programs.
- Familiar with Mac OSX, Windows 7, 8, Windows 10, Linux OS and FreeNAS
