Posting Summary
Rutgers, The State University of New Jersey, is seeking a Executive Assistant for Rutgers Institute for Health, Health Care Policy and Aging Research. The position provides high-level confidential support to the Director & CFO.
Among the key duties of this position are the following:
  • Manages facilities and space policies.
  • Writes and prepares well designed communication and presentations.
  • Plans and executes large-scale programs, events or initiatives.
  • Develops high-level confidential documents.
  • Researches complex issues and recommends possible direction and/or resolutions.
  • Manages and coordinates the administration of programs, projects, and/or processes.
  • Prepares and implements administrative guidelines and procedures, and provides oversight and facilitation.
  • Manages and coordinates special projects and programs to ensure successful outcomes of the projects and timelines are met. Including but not limited to: IFHHCPAR meetings, brown bags, leadership meetings, summer internships and faculty recruitment interviews.
  • Manages and coordinates the design and logistics for events and meetings; and completes other work consistent with a broad understanding of the mission, vision, role, and goals of the administrative, academic, or research unit, and the tasks and responsibilities of the Executive Assistant in the achievement of unit goals.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Business, Management or a related discipline or an equivalent combination of education and/or experience.
  • At least five (5) years of progressively responsible management, experience in business, education or research environment.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent writing, organization and communication skills are essential.
  • Experience with software packages such as Microsoft Office Suite
  • Ability to work well with all levels within the organization, including Institute leadership, faculty, staff, students and community leaders.
  • Demonstrated ability to be a self-starter who works independently, in addition to being a team player, flexible and able to shift priorities while maintaining a high level of detail when meeting deadlines.
