Posting Summary
Rutgers, The State University of New Jersey, is seeking an Executive Assistant for the Executive VP for Academic Affair. The position reports to the Assistant Vice President for Educational Access and Success of the E3C. The position is responsible for project management, community relations, maintaining the general operations and productions schedules of their supervisor, such as arranging and coordinating logistics for meetings, conferences, running existing reports, preparing and identifying new reports, assisting with analyzing reports, and assisting with presentations and supporting documents as needed.
Among the key duties of this position are the following:
  • Operate under the Office of the Executive Vice President of Academic Affairs.
  • Provide high level administrative and project management support, strategy and execution, collaboration and data gathering for reporting purposes, preparation for high level meetings and managing the AVP’s calendar.
  • Work independently, comfortably multi-task on a wide variety of projects, possess a keen eye for detail, be able to collaborate with a diverse spectrum of colleagues, communities, and follow through with minimal supervision.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge an understanding of project management, communication, community relations, office administration, customer service, work organization, non-profit management, coordination, facilitation, bookkeeping, and/or report writing principles and practices.
  • A minimum of two years of relevant experience, preferably in an administrative and project management function, ideally in a Higher Education, K-12 school systems, and fundraising environment.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Professional experience that demonstrates knowledge and understanding of program coordination, report analysis, writing, and promotion/outreach.
  • Excellent communication skills and computer literacy.
  • Experience serving historically underserved populations.
Preferred Qualifications
  • Exemplary writing skills, strong oral and written communication, and computer literacy skills.
  • Excellent customer service orientation and ability to work with all levels within and outside university.
  • Superb skills in problem solving and diplomacy.
  • Experience working with Higher Education communities highly preferred.
  • Fluency in other languages other than English (Spanish).
