Full Job Description

Whatcom Community College welcomes applicants for a Program Coordinator (Class Code 107N) to support the mission of the WCC Foundation. The Program Coordinator plays an important administrative role in the development and attainment of the WCC Foundation goals to support the College. This position reports to the WCC Foundation Operations Manager and resides in the WCC Foundation building. The program coordinator has an important connecting role in WCC Foundation’s work to build community every day among WCC students, Foundation staff, donors, and the campus community.

This position will provide key administrative support for WCC Foundation student focused programs, with prioritization of student scholarship programs that support enrollment and retention. Additionally, the position will manage scheduling and provide administrative support for Foundation operations, gift processing, and Executive and Foundation Board functions.

Responsibilities

 

 

Foundation Program Administration

  • Support Foundation program and scholarship promotions among students, faculty and staff and provide proactive outreach to support applicants.
  • Support communications and logistics for WCC Foundation scholarship related and student ambassador events.
  • Coach students in preparation for student ambassador roles, supporting recruitment and coordinating student follow up post event.
  • Facilitate vendor engagement and payment and supply purchasing.
  • Support the administration, tracking and reporting of WCC Foundation grants and Funds for Excellence programs.
  • Support volunteer management strategies and onboarding and orientation.
  • Support Foundation program impact tracking and organizational evaluation reporting.
  • Coordinate regular governance updates related to Foundation programs.

 

 

Foundation Operations Administration

  • Serve as the first contact for student, faculty and staff, and donor inquiries and in-office visits through management of the Foundation inbox, mail, and on-site office hospitality.
  • Respond to timely Foundation inbox requests and inquiries through the development of templated responses and researching appropriate answers in coordination with Foundation staff.
  • Greet office visitors, providing hospitality and addressing initial needs.
  • Manage Foundation phone line and prompt response to inquiries and requests.
  • Maintain careful records of all interactions in the Foundation donor database CRM and student and alumni systems.
  • Collect all mail and open communications with appropriate oversight, entering all gift entries, preparing donor general acknowledgements and tax receipts, and donor database CRM reporting.
  • Prepare mailings and communications as requested including appeals, impact statements and coordination with WCC’s copy and print services.
  • Administer server organization and inventory permissions.
  • Compile and update the Foundation operations manual.
  • Provide administrative and scheduling support to the Executive Director for WCC Foundation and Board ad-hoc and Nominating Committees.
  • Other duties as assigned.

 

 

Qualifications

Minimum Qualifications:

  • High school graduation or equivalent.
  • Experience with Microsoft 365, and Teams or other similar office software systems.

 

 

Preferred Qualifications:

  • Experience with higher education and/or philanthropy.
  • Bachelor’s Degree preferred.

 

 

Salary

Salary and Appointment:

  • Range 38, full-time salary starting at $3,096.00 per month with periodic increments to $4,013.00 per month.
  • Per Governor Inslee's Proclamation 21-14, state employees must be fully vaccinated. Please note that any offer of employment is contingent upon you providing verification of your vaccine status, having an approved medical accommodation, or having an approved religious accommodation. No start date will be approved until you have either verified your vaccine status or have an approved accommodation.
