This position is the Administrative Assistant to the Psychiatric Service Program Administrator. The Administrative Assistant will provide assistance with daily tasks such as scheduling Psychiatric Services leadership team meetings, maintaining staff schedules, ordering supplies, supporting Expanded Community Service (ECS), and inpatient census monitoring.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • General office tasks and administrative duties, such as directing communications between colleagues and customers, organizing events, entering data, maintaining office equipment.
  • Build and maintain Psychiatric and Medical Moonlighting schedules. Build and maintain Prescriber On-Call schedule.
  • Supporting ECS administrative requirements.
  • Monitoring inpatient censuses and maintaining related spreadsheets.
  • Collect documentation, collate into a report and send blinded documents to each provider as part of Peer Review. Maintain records of the results.
  • Create and send correspondence and other documents in a complete and timely manner.
  • Liaison with stakeholders to ensure timely sharing of information related to training, monthly meetings, or conflicts between entities if they occur.
  • Assist with the distribution of inter-departmental communications and notifications sent out for employees.
  • Represent FBH in a professional and positive manner.
  • Other duties as assigned.
QUALIFIED CANDIDATES WILL HAVE:
REQUIRED:
  • High school diploma or equivalent certification.
PREFERRED:
  • One year working as an administrative assistant or equivalent.
KNOWLEDGE, SKILLS & ABILITIES:
  • Demonstrated ability to relate constructively to colleagues and community.
  • Sensitivity to individuals’ unique cultural characteristics, and to the challenges faced by the socioeconomically disadvantaged.
  • Excellent verbal and written communication skills with demonstrated ability to communicate clearly and effectively with individuals of diverse backgrounds.
  • Ability to work with minimal oversight, including ability to translate concepts into actions.
  • Knowledge, experience and proficiency with use of information technology software.
