Essential Job Duties

The team requires a Senior Coordinator who is highly organized and can respond quickly to requests that are time-sensitive. This position is responsible for extensive scheduling, tracking outstanding items, preparing, proofreading and executing correspondence using the correct templates, creating, filing, retrieving and organizing documents. Organization and adhering to deadlines is a must for this position. This position may have contact with the Secretary’s Office, staff from other divisions, staff, Medicaid recipients, hospitals, nursing facilities, and other providers of medical care. Work may include other related tasks as determined by the manager.

Other Work/Responsibilities

Job Specific Responsibilities:
  • Provides senior level administrative support to multiple leaders and staff
  • Works well independently and with Coordinator team and Administrative Staff
  • Handles sensitive and confidential information and response times are crucial as communication is high in volume and can be sensitive in nature
  • Acts as a liaison to expedite the flow of information and interprets policies, procedures, rules, and regulations to varied facets of the organization and vendors
  • Schedules and organizes complex activities such as meetings, conferences, workshops and other activities, reserves conference rooms; ensures documents and other materials are accurately prepared and available for all types of meetings
  • Independently and proactively handles telephone, visitor, and email inquiries; communicates effectively, competently, and professionally with public, staff and vendors
  • Creates and designs general correspondences, memos, charts, tables, graphs, reports, etc.; responsible for accuracy and clarity of final copy by proofreading for spelling grammar and layout
  • Schedules all travel arrangements for assigned leadership and staff as appropriate; ensures accurate processing of documentation for travel reimbursements
  • Completes tasks and correspondence within deadlines

  • Ability to express oneself clearly and concisely in oral and written form
  • Demonstrated ability to maintain confidentiality and use good judgment in making decisions with a high degree of tact and diplomacy
  • Experience planning and scheduling meetings and appointments for high-level management and staff
  • Demonstrated strong proficiency in Microsoft Office suite (Excel, Outlook, PowerPoint Teams, and Word)
  • Considerable knowledge and ability to use correct grammar, vocabulary, spelling, and language to compose a variety of written materials
