Located in Western Pennsylvania since 1946, PTC awards associate and bachelor’s degrees and certificates in these areas: Business, Criminal Justice, Culinary Arts, Hospitality, Design and Engineering Technology, Healthcare, Nursing, Information Systems and Technology, Trades Technology, and Energy and Electronics Technology. The PTC college experience is empowering and culminates in internships and clinical rotations for on-campus, degree-seeking students.

Purpose of Job

The Registrar is responsible for the registration and enrollment of students and coordination of student records of both former and current students. This position interacts with students, alumni, parents, faculty, and staff in providing information regarding students’ academic records. The Registrar oversees the efficiency of the Registrar Office. The position supervises one Associate Registrar, one Assistant Registrar, and one Registrar Coordinator.

Education Requirements

Bachelor’s degree in related field required, or an equivalent combination of educational and related work experience.

Experience Requirements

  • Minimum of five years of related full-time work experience
  • Proficiency using Microsoft Office Suite including Excel is required
  • Experience with Crystal Reporting and Click VUE preferred
  • Experience with National Student Clearing House Reporting and IPEDS reporting preferred
  • Requires excellent communication and phone skills to interact with outside contacts.
  • Requires accuracy and ability to pay attention to details.
  • Must be able to work independently with minimal supervision.

Responsibilities

Records:
  • Maintains student permanent records and population report including withdraw log statistics.
  • Responsible for the integrity of student records data and the information system containing student records.
  • Oversees the maintenance, accuracy, integrity, security, and storage of student records.
  • Maintains repository school records.
  • Manage roster confirmation and assist with attendance updates and posts graduation dates

Reporting:
  • Manages grade collection and reporting. Posts final grades and ensure timeliness.
  • Manages course records in the information system of the College.
  • Oversees the processing of class withdrawals and incompletes.
  • Prepares required federal and state reports i.e., National Student Clearing House and Crime Reports.
  • Responsible for IPEDS reporting and fiscal year reporting.
  • Preparation of Satisfactory Academic Progress reports and generates appropriate letters.
  • Prepares various reports to assess institutional effectiveness.

Administrative:
  • Oversees processing of enrollment verifications and requests for all transcripts (new and returning.)
  • Enforces College, State and Federal regulations regarding academic records, ensures FERPA compliance throughout the campus.
  • Plans and manages the services and programs related to student records and graduation including ordering and distributing degrees
  • Assists in the development of the Academic calendar.
  • Processes Grade Change and Incomplete Grade Request forms.
  • Leads Early Intervention Task Force.
  • Oversees the articulation agreement process with secondary and post-secondary schools and maintains current articulation agreements with institutions, including dual enrollment agreements.
  • Assists with preparation required for audits and program reviews.
  • Provides academic reports as needed.
  • Participates in enrollment activities for PTC, which includes Open House, Orientation and Graduation
  • Oversees academic policy and procedure development and integration.
  • Oversees course scheduling.
  • Oversees room booking and change requests.
  • Oversees production and publication of academic catalog.
  • Oversees International Student process and procedure.
  • Oversees Transfer Credit Evaluation process and procedure.

Training:
  • Provides FERPA training for all College departments, college faculty and staff.

Contributes to PTC’s overall success by performing additional duties as assigned.
