Job Summary

The purpose of Academic Advising at Salt Lake Community College (SLCC) is to help students identify their educational and career goals, advise students about their pathway of study, and work with students to create academic plans that lead to successful completion.

The Assistant Director of Academic Advising is a professional position that reports to the Director of Academic Advising to provide strategic and transformational leadership in the area of academic advising in order to fulfill the mission of the College. The Assistant Director will also provide support and coordination for college-wide programs and initiatives related to support the holistic development and academic success of all students.

Assistant Directors in Academic Advising do the following:

-Oversee the hiring, training, and continued professional development of advisors within their assigned academic pathways.

-Work closely and collaboratively with Academic and Student Services administrators to ensure quality and efficiency in delivery of academic advising services.

-Participate in the leadership team in the development and enforcement of departmental policy and procedure.

-Oversee departmental work groups to implement departmental strategy in achieving departmental and institutional goals.

-Assist the Director in establishing and evaluating departmental assessments and managing functional budgets.

-Serve as a liaison to and coordinate with academic departments to ensure students are provided consistent, accurate, and prompt advising services.

-Assess the quality and success of the academic advising resulting to make informed decisions regarding the continuous improvement of services and implementation of learning outcomes

-Manage and coordinate processes related to Academic Standards policies. Act as liaison with curriculum office.

Academic Advising at SLCC consists of four assistant directors, 43 full and part-time advisors, in addition to support staff, located at seven campuses/sites. Advisors have responsibility for a variety of services, including case management advising in a pathway, major/program advising, career exploration advising, transfer advising, academic standards intervention, limited curriculum review, early enrollment/concurrent enrollment advising, faculty support, and professional development.

Essential Responsibilities and Duties

Supervisory Responsibilities:

  • Lead and supervise activities and operations connected to the advising services.
  • Facilitate the development and expansion of intrusive, case management advising in a pathway model.
  • Establish realistic advisor caseloads to enable sufficient time for advisors to establish and maintain relationships with students.
  • Implement services and programs toward the purpose of increasing timely completion for students.
  • Oversee creation and maintenance of intervention processes related to the Academic Standards policy.
  • Provide needed support and/or resources.
  • Conduct regular staff meetings, annual performance evaluations, and provide ongoing training.
  • Assign referrals of students who may need intrusive advising, support, or immediate attention to emerging problems to advisors.
  • Support advisors in implementing orientations, group advising, and program activities.
  • Lead, organize, and initiate training continuous development of case management process/format.
  • Introduce new technology tools to get feedback and to provide further guidance about its use. Procure a timely solution to technical problems.
  • Regularly share updates on programs, procedures, and processes with Director and the department.
  • Inform the Director and department in a timely manner about areas of responsibility.
  • Provide updates of meetings attended as a representative of the department.
  • Act as director when director is not available and participate in professional development and organizations.

Acts as Liaison between Academic Advising and External Stakeholders:

  • Communicate regularly and collaboratively with Academic and Student Services administrators to facilitate timely input from advisors on the design and implementation of projects.
  • Provide leadership with interdepartmental and external agencies to be responsive to the needs of the students.
  • Provide updates of meetings attended as a representative of the department.
  • Work in close collaboration with instructors to learn about changes in the curriculum or delivery of services.
  • Collaborate with other departments, faculty, and staff in the development of transfer and program services and initiatives.
  • Represent Advising on the College’s Curriculum and General Education Committees.
  • Represent SLCC at state-wide majors and articulation meetings as necessary.
  • Work with advisors to assist SLCC faculty and academic departments as new courses or programs designed for transfer are developed. Facilitate advisors’ involvement in technical review.
  • Collaborate with the Assessment, Curriculum, and Scheduling office.
  • Update forms, conduct monthly Pathway Advisor meetings, and manage departmental file shares and website.
  • Oversee marketing and communication strategies to promote advising services and activities.
  • Ensure the distribution of program change information to other SLCC student success personnel (e.g., TRIO, DRC, Financial Aid, etc.).

Advise Students with Complex Circumstances:

  • Advise and assist students in understanding the requirements for all SLCC degree, certificate, and completion programs. Advise students in developing academic timelines, exploring course work, sequencing, and selecting courses and developing class schedules.
  • Teach students to become aware of their values, interests, abilities, and clarifying their academic and career goals.
  • Assist students utilizing services on campus and in the community.
  • Work with other departments to troubleshoot and resolve complex issues.

Assessment and Evaluation:

  • Assist director and advisors in collecting data and developing assessment plans that lead to continuous improvement of services.
  • Evaluate impact of advising services on students learning and development.
  • Write and compile reports.
  • Manage a budget.
  • Apply SLCC established policies and procedures.

Preferred Qualifications

Master’s degree in educational psychology, education, career counseling, student affairs, communication or related technical field.

Bilingual

Working knowledge of Starfish, Banner, DegreeWorks and Canvas.

Experience in case management and/or territory management.

Experience interpreting degree requirements, articulation agreements, and curriculum processes.

Minimum Qualifications

Bachelor’s degree in a related field.

Three (3) to five (5) years of direct, paid, full-time experience in academic advising.

Demonstrated leadership experience in academic advising or student services.

Knowledge and understanding of SLCC organization, goals, and objectives

Knowledge of SLCC policies and procedures. Interpret and explain college policies and procedures, including the Student Code of Conduct.

Knowledge of SLCC schools and departments. Knowledge of college enrollment procedures, college resources, and services (e.g., Registration, Financial Aid, Learning Resources).

Apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.

Knowledge of social and educational resources and services in the community.

Knowledge and understanding of educational and placement processes and interpretation practices. (e.g., ACT/SAT, CASAS, Accuplacer, CLEP, TABE, AP, etc.)

Demonstrate the aptitude to learn new systems and processes quickly, as needed. Demonstrate evaluation, originality, initiative, ingenuity, creativity, teamwork towards conflict resolution, and decision-making.

Lead discussions and make presentations to large and small groups. Assist with coordination and delivery of workshops and classroom presentations regarding academic advisement.

Knowledge and understanding of diverse student needs and challenges and demonstrate sensitivity and excellent interpersonal skills to work and interact with students, staff, and faculty from diverse academic, socioeconomic, cultural, ethnic backgrounds, including differently-abled and LGBTQ students.

Communicate effectively and appropriately, both verbally and in writing with a broad range of people with diverse abilities, cultures, and ethnic backgrounds. Prepare business correspondence and advising materials for print and digital media.

Knowledge of developmental academic advising theory including current advising literature and practices. Train others in academic/career advising techniques and pathway and program information.

Knowledge and understanding of student development theory and practices as it relates to advising students experiencing academic difficulties. Apply student development and career development theories to help students develop habits, behaviors, and mindsets necessary for success in a college and career environment.

Knowledge of programs of study, including general education requirements and pre-requisites for relevant academic pathways. Knowledge of degree and certificate options within an academic pathway and completion requirements.

Use effective project management to prioritize assignments in order to plan and carry out objectives and provide advisement to assigned students in a timely manner. Develop and implement college-wide programs related to student learning outcomes.

Initiate and maintain coordination with other student and academic affairs departments and offices related to pathway responsibility to enhance students’ overall educational experience.

Work both independently and/or with a complex-structured team within the department and with faculty and other administrators. Maintain good working relationships across the college.

Develop quality standards and performance expectations. Ensure that applicable laws, standards, rules and regulations are applied fairly and appropriately.

Knowledge and application of leadership theory and practices. Demonstrate leadership and ability to mediate and manage conflict resolution in the work environment.

Knowledge of the SLCC curriculum development process and participation on faculty governance committees upon invitation.

Use research methods, assessment, and data-driven evidence and proven practices from internal and external stakeholders to solve problems, make decisions and strategize.

Work as part of the leadership team to create professional development training strategies, participate in departmental budget planning, and discuss issues related to department operations.

Develop and evaluate assessments to measure learning outcomes and case management strategies as it affects student success.

Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.

Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
