About the Job:

To serve as the primary facility representative facilitating the admissions process for residents and their families, facility staff and referral sources. In addition, this individual will serve as primary liaison between the facility and the community at large in marketing the facility and increasing awareness of our programs and services. Responsible for coordinating admission inquires from referral sources and the public, serving as the initial facility representative to inquiring parties for admission; and maintaining relationships with residents and responsible parties and works to ensure census goals are met.

Special Note: This role will be divided between 80% Assisted Living and 20% Skilled Nursing. In this role we are ideally seeking someone who has a strong sense of urgency, ability to tell our "story" to families and local individuals. Qualified candidates should continuously build and nurture relationships with local seniors and referral sources.

Essentials:

1. Serves as customer service representative for internal and external marketing efforts.
2. Assists Residence Director in the development of a yearly marketing plan and has primary responsibility for carrying out details of the plan.
3. Serves as liaison between administration and nursing when coordinating the admission process.
4. Handles referral calls and assists in the pre-screening process.
5. Communicates admission information to concerned departments, as appropriate.
6. Communicates the status of admissions and the daily census to all concerned departments represented at the management meetings.
7. Assists in the development and implementation of marketing materials, complying with the organization’s graphic standards and messaging guidelines.
8. Documents all inquiries to determine number, principal referral sources and conversion percentages for telephonic and in-person inquiries as well as monthly admission and discharge statistics.
9. Schedules facility tours for admission inquiries and serves as initial representative to inquiring parties.
10. Supports and promotes the Volunteers of America branding campaign and fundraising efforts.
11. Develops an understanding for the financial mechanisms related to each payer type to gain a clear understanding for the impact each admission has on the facility. Ensures referrals have viable payer source.
12. Assists Residence Director with projects related to community development and awareness.
13. Completes all admission forms and documentation.
14. Maintains supply of admission and tour packets, applications and necessary department forms as required.
15. Serves on committees as required, including but not limited to.
16. Attends required in-services and completes assigned on-line modules.

Required Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. 1. Graduate from a post-secondary program, preferably social work or related degree; licensed where applicable by the State.
2. Ability to read, speak and write fluently in English; excellent communication and phone skills.
3. Ability and willingness to work flexible hours and on-call duties, such as during evenings and weekends, for planned activities or special events, family meetings and conferences, admission calls, admissions and tours.
4. Negotiation skills and ability to carry on several levels of reasoning at once during problem solving sessions; ability to think quickly and to write contracts and complex written arguments.
5. Ability to work with residents of varying levels of responsiveness.
6. Familiarity with word processing, data processing and computer entry skills to match existing clinical management software at facility.
7. Ability to utilize computers and other electronic devices for tasks such as timekeeping, in-servicing and documentation.
8. Ability to perform several job functions at once.
