Office Administrator 1.0 FTE

Reports to: Senior Director of Operations

Summary:

The Office Administrator is an organized and detail-oriented administrative professional who maintains a cheerful attitude in a busy office environment supporting multiple staff and facets of the organization. The position provides support to the public and manages a routine administrative workload.

Location: On site at our Port Townsend, WA office.

Responsibilities:

Office Administration: (75%)

  • Oversee all aspects of the office to ensure a welcoming and professional environment including the appearance is kept clean, tidy and organized
  • Receive visitors, answer phones and manage incoming office email and mail
  • Order supplies plus establish and maintain vendor relationships for services needed such as Landscapers, IT Support and Building Maintenance
  • Provide administrative support to the Executive Director (including calendar assistance) the Leadership Team, the Board of Directors (e.g., meeting logistics, electronic document organization), and other staff as needed
  • Provides administrative support to the Finance Director and Bookkeeper such as scanning, coding and filing invoices/expenses
  • Organize and maintain the affiliate’s paper and electronic records; follow the affiliate’s document retention policy to ensure proper retention and destruction of records
  • Oversee the office budget
  • Maintain all-staff (OOTO, important meetings, etc) and meeting room calendars
  • Oversee the implementation of office policies and procedures, updating and revising as needed to describe current practice

Infrastructure Support (15%)

  • Manage routine maintenance of facilities (building & grounds) by acting as point of contact with building maintenance;
  • Provide basic IT support to staff; coordinate technology and communication systems and needs by working with contractors, volunteers, and vendors
  • Track assets by maintaining log of computer hardware, keys, and cell phones; procure new items as needed and budgeted
  • Oversee the management of the Fleet Vehicles: Licensing, Insurance, Routine

Maintenance, Inspections

Ad hoc Support (10%)

  • Proofread and edit communications pieces, presentations, articles
  • Provide support to the Program Coordinator with Events as needed
  • Other responsibilities as assigned

Position Requirements:

  • A highly-organized and detail-oriented office professional with a minimum of 3-5 years' experience managing a busy office
  • Proficiency with MS Office products, including Word, Excel, Teams and SharePoint
  • Able to prioritize a full workload and be a self-starter
  • Demonstrated ability to work and communicate professionally and respectfully with diverse coworkers and members of the public
  • Possess good judgment and the ability to maintain confidentiality
  • The ability to climb stairs to access second floor office, to sit at a desk for long periods of time, type on a keyboard, operate office machines, see, hear, and use standard communications equipment including telephone
  • Excellent ability to speak, write, read and understand English
  • Your interest in being part of the important work of Habitat for Humanity is a plus

Salary and benefits:
Compensation depends on experience and qualifications; starting range $17 - $19 per hour.
Benefits include fully paid medical and dental insurance for the employee, holidays, retirement plan with employer match, and three weeks’ vacation annually.
