Executive Assistant
Job Description
National Health Foundation is looking for a driven, professional, and outgoing individual to assist our new CEO and President. Under their direction, this highly visible role will provide professional administrative support to the CEO, interact with the Board of Directors, and be the point of contact for the CEO and President. The role requires the person to make independent decisions on work related issues, perform ad hoc requests promptly and effectively, and provide professional executive-level administrative support to the executive team.

The range for this positions is $65k-$75k. The schedule for this position is Monday-Friday 830am-5pm. Friday is a WFH day for all Admin staff. Parking is covered by the organization.
Responsibilities and Initiatives
To help NHF meet its growth goals, the Executive Assistant will:
- Provide professional executive-level support to the CEO, COO, and Executive Director by independently identifying, prioritizing, and planning administrative workload.
- Manage leadership’s highly fluid executive calendars - requiring utmost flexibility and diplomacy, ensuring all details are meticulously thought out and communicated.
- Set priorities and coordinate tasks to meet a wide variety of deadlines and complex schedules.
- Coordinate, proofread, and assemble board of director, committee, and general meeting materials. Schedule, and solidify all logistical details of board, committee, and other general meetings.
- Assist with travel arrangements, conduct research in support of projects, and provide logistics management for the CEO with astute attention to detail.
- Prepare correspondence, including letters, memoranda, and emails, ensuring confidentiality and professionalism at all times.
- Serve as a liaison with the Board of Directors, HASC members, and other stakeholders.
- Organize and maintain efficient filing system.
- Maintain an appropriate inventory of office supplies.
- Log incoming checks.
- Perform ad hoc requests as needed.
Requirements
- High School Diploma or equivalent experience.
- Master level proficiency with Microsoft Office Suite: Word, Excel, PowerPoint and Outlook.
- Demonstrated experience with proactive completion of routine correspondence requiring excellent writing, composing, editing, and proofreading skills.
- Demonstrated expertise in highly autonomous office management, incredible attention to detail and a strong ability to organize.
- Demonstrated interpersonal skills to establish professional, cooperative working relationships and interact effectively with NHF managers, staff, board members, and other outside stakeholders.
- Excellent polished communication skills and emotional intelligence, with expertise in conveying information professionally and with tact, sensitivity, and clarity.
- Ability to maintain calm under pressure.
- Demonstrated ability to handle confidential materials and information with responsibility, discretion and diplomacy.
- Ability to work independently, prioritize assignments, and follow through with minimal direction in order to perform effectively under conditions of frequent interruptions, fluctuating workloads, and conflicting time demands.
- Skill in systematizing diverse information and material, establish and maintain logical filing systems with ability to retrieve such information effectively.
