Position Summary

Located 45 minutes from the Nation’s Capital, nestled in a history-rich community of southern Maryland, The College of Southern Maryland (CSM) is a two-time Aspen Award-winning institution (top 15% of Community Colleges) with academic programs in over 100 disciplines. The individual in this position is responsible for coordinating student life activities and initiatives with students and staff members on campus. The Coordinator is responsible for training the Student Association, the advisors and all student club leaders to successfully function within the college community. The Coordinator also assists in the formation of new clubs and organizations: enrolling students in Officer Training, enrolling Advisors in Advisor Training, and facilitating the creation of an electronic club shell, so club officers/club members are able to manage their club effectively and efficiently. The Coordinator also oversees the Student Life student assistant staff in the Student Life Office and Game Room to ensure policies and procedures are followed on a daily basis. Additionally, the Coordinator updates the Student Life Clubs and Organizations section on the College's website and the CSM App.

Specific Duties and Responsibilities

Essential Functions:

  • Advisor to the Campus Association, Student Activities Committee and to the Budget Board. Utilizing all college wide technological advances.
  • Works with the STL Staff’s and Campus VP’s for planning, development, implementation, supervision, and evaluation of a diverse series of student activities contributing to a comprehensive and diverse series of student services that focus on learning, leadership, cultural competence, social and recreation.
  • Assures a student learning approach to campus activity and service programming that effectively meets the social, cultural, recreational, and educational needs of the campus and the community. Develops and administers a student activities survey to assess the needs and interests of nontraditional and evening students.
  • Coordinates student life activities and initiatives with students and staff members on the all campuses including the college wide programs, events, trainings and leadership program.
  • Establishes and supports a positive and collaborative working relationship between student organizations and community agencies.
  • Responsible for training the Campus Association (CA), the advisors and all student club leaders to successfully function within the college community. This would include college and SA policies and procedures along with training the CA on their job duties and responsibilities, and evaluations of the SA and Performance Award distribution.
  • Assists students in the formation of new clubs and organizations.
  • Develops, plans, supervises and implements college sponsored trips.
  • Provides primary staff supervision for most day and evening activities sponsored by the CA and SAC and accompanies students to major CA related conferences and workshops (occasionally on the weekends).
  • Acts as a consultant to the Alumni Association and other campus offices for event planning and promotion.
  • Responsible for managing college wide events and programming such as, but not limited to the Board of Trustees Presentation, Spring Fling, Fall Festival, Students Helping Students Fund, Summer/Winter Retreats, Leadership Training, Advocacy Day, Elections and the SGA Banquet.
  • Oversees the day-to- day operations of the Student Life Office which includes answering phone, greeting guests, answering questions, assisting with all office functions and other duties as assigned.
  • Oversees the day-to-day operations of the game room which includes check out and return of equipment, verification of an enrolled student,
  • Responsible for the supervision and training of a part-time temporary position and a student assistant staff of 6 or more
  • Acts as the primary contact person for the website, CSM App and social media as applicable for Student Services.
  • Attends website and CSM App maintenance and training as required
  • Ensures the CSM's web page and CSM App guidelines and policies are followed and implemented in a timely manner. Coordinates with the CSM Web Services Team when new services or page(s) need to be implemented and integrated
  • Maintains layout and content continuity across web pages and CSM App, fixing errors and coordinating with the Web Services Team as needed.
  • Monitors the sites to see that content is up-to-date, links are working, etc. Ensures the accuracy and credibility of content
  • Adheres to CSM web page policies, procedures, and standards. Ensures compliance with Copyright Laws when provided materials from another source and credit sources appropriately. Ensures compliance with Americans with Disabilities Act (ADA) requirements with assistance from the Web Services Team
  • Cost Center Manager for the Campus Associations and all campus clubs
  • With coordination of the Dean, prepares the CA budget for approval for the SGA, sets up all club budgets and prepares and monitors all budget transactions and maintains a shadow budget for accuracy working with the Student Development Operations Manager
  • Monitors and assists in the resolution of issues related to the CA budget with the Budget Board
  • Negotiates student activities related contracts with various outside artists, vendors, and agencies. Purchases supplies for STL programs or events
  • Assists in the coordination, the design, maintenance, and editing of the Student Life, Student Association, and Student Organization web pages and CSM App
  • Coordinates the effort of student clubs and organizations presence in the My Learning Community
  • Provides supervision of the editing to the Student Activities Calendar
  • Provides leadership in the development, administration and information sharing of a housing and transpiration referral service
  • Initiates and maintains regular contact with outside providers of housing and transportation services in the tri-county community, including public transportation, ride share, rental housing options, and real estate businesses in the tri-county area
  • Assists with the coordination of winter and spring graduation ceremonies
  • Provides safety and security educational information to students and initiates new programs to meet the needs of students in regard to current health/safety issues

Additional Duties:

  • Performs other related work as required

Minimum Education and Training

  • Bachelor’s degree required in related field; Master’s Degree in Student Personnel Administration, College Counseling, or related field preferred.
  • Two years of experience in student services area with progressively increased responsibility

Minimum Qualifications and Standards Required

Knowledge, Skills and Abilities:

  • Demonstrated ability to advise or lead student groups or organizations.
  • Demonstrated ability to work with college student constituencies & diverse populations in an effective manner.
  • Proven record keeping, budgeting and administrative skills.
  • Excellent oral and written skills are required.
  • Ability to design and organize student activities and/or cultural and recreational programs.
  • Ability to maintain insurability under the college’s vehicle liability insurance plan
  • Excellent time management skills to manage the daily operations for the area while planning well in advance without supervision. The tasks and prioritization of them are driven by students and advisors needs, clubs, leadership program, or day-to-day operations of the office and game room.
  • Experience in Microsoft Office Suite

Ability to Successfully Collaborate with Numerous Internal and External Contacts:

  • President’s Office, vice president, executive directors, department directors, department chairs, faculty, and staff to coordinate student activities, special events, judicial procedures, and leadership programs.
  • National organizations for leadership & student development (ACUI, ACPA, NASPA).
  • Division of Financial and Administrative Services for account management, facilities operations, and contract procurement.
  • Outside vendors for contracted student services, events, and activities.
  • Tri-county public and private providers of housing and transportation services
  • National and regional corporations for activities and amusement contracts.
  • Educational resources for leadership, instructional, and safety materials
  • Student Life offices of CSM and other Maryland Community Colleges through the Maryland Community College Activities Directors Association

Physical Requirements:

  • Travel to all campuses and to state and regional meetings and conferences
  • Travel on all campus or college wide SA or SGA trips
  • Some lifting required for activities or events; 25 -40 pounds
  • Office environment with an occasional outdoor activity
  • Evening and weekend work
