Accounts Payable Specialist I-Tonkawa-Full Time

Job Description

SUMMARY: Reporting to the Director of Purchasing/Accounts Payable the Accounts Payable Specialist I is responsible for all aspects associated with the processing of invoices for claims and checks in the Jenzabar system, submission into the state system, and archiving into the document imaging system.

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Process invoices including data entry, obtaining proper signatures and coding
  • Claim and check printing
  • Disbursing payments with proper documentation to vendors
  • Process monthly recharge invoices for printing, copying, travel, postage & bookstore charges
  • Reconcile vendor statements to paid invoices
  • Scan and index documents to document imaging electronic storage
  • Assist with purchase orders
  • Maintain Credit Card Log
  • Print invoices received at accountspayable@noc.edu and obtain a signature on invoices to verify receipt of product or service
  • Assist Director in all area of department functions including but not limited to attending meeting/conferences, preparing reports and requested documents, and educating employees on guidelines and procedures
  • Compile and maintain position manual
  • All other duties assigned

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Excellent interpersonal, oral, and written communication skills as well as expertise to accomplish the above essential duties and responsibilities are required. The Accounts Payable Specialist 1 must preserve confidentiality of privileged and sensitive information; use independent judgment and initiative in the planning, organization, and performance of responsible administrative work; establish and maintain cooperative working relationships with those contacted in the course of work. Must be able to work under pressure; meet inflexible deadlines; set priorities and maintain professionalism when dealing with individuals. Weekend and evening work may be required with a flexible 40-hour workweek schedule Subject to satisfactory Fair Credit Reporting Act Disclosure which includes a criminal background check.

EDUCATION AND EXPERIENCE: A minimum of an associate degree and two years related experience; or equivalent combination of education and experience is required.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is occasionally required to stand, walk, sit, push, lift, haul, pull, reach, carry, grasp, squat or stoop, bend and twist the body while performing essential duties, use hands to operate controls, reach with hands and arms, climb stairs, talk or hear.
