Job Description

Position Overview:

Responsible for developing, maintaining and implementing accounting procedures for the fixed asset system. Process various subsystems to the general ledger, analyze and resolve variances with accounts, statements and funds. Responsible for budgeting for the capital projects fund and processing budget transfers. Responsible for resale accounting system and equipment sales. Responsible for verifying the accuracy of purchase order request information including accounting strings and creating and sending out purchase orders. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Job Responsibilities:

(50%) Capital Equipment Accounting and Budgeting
• Responsible and accountable for the fixed asset accounting system and the equipment budgeting process for the college.
• Process, verify, maintain, and reconcile the fixed asset subsystem with the general ledger.
• Analyze and reconcile fixed asset financial reports.
• Conduct periodic physical inventory by division/department of fixed assets and resolve any discrepancies.
• Assist budget managers in the equipment budgeting process.
• Create reports and analyze variances found in equipment budgeting.
• Monitor equipment purchases for correct accounting standards and assist budget managers as needed.
• Maintain budget spreadsheets for tracking purchases and budget transfers.
• Validate and reconcile year end encumbrances for all funds.
• Validate and process budget entries and transfers.
• Assist Director of Facilities with tracking construction projects budgets and payments.

(30%) Purchase Order Processing/Equipment Sales
• Enter and reconcile purchase orders daily. Close completed purchase orders on a weekly basis.
• Approve all asset disposal requests before assets are offered for sale or scrapped.
• Assist with asset salesas needed.
• Reconcile disposal forms, sales proceeds and equipment inventory.

(10%) Enterprise and Internal Service Funds - Resale Accounting
• Responsible for the resale accounting system.
• Audit annual resale physical inventories for the enterprise and internal service funds and reconcile with general ledger.
• Prepare financial reports for analyzing pricing, costing, and variances.
• Responsible and accountable for activity in the enterprise and internal service fund resale accounts.
• Prepare and distribute financial reports to managers and resolve problems.

(10%) Other
• Develop and maintain accounting procedures for all functions of position.
• Perform all necessary testing for program changes in computerized systems and for all participants of fixes, patches, and upgrades.
• Coordinate work with other WILM staff and solve problems or issues.
• Prepare reports and reconciliation(s) for auditors.
• Responsible for other accounting duties and back up as assigned.

Supervisory Responsibilities:

Provide work direction to work study/student help employees and temporary employees.

Education, Experience and/or Certificates, Licenses, Registration:

Related associate degree or equivalent and two to three years of recent related occupational experience is required.

Note: If educational/certification requirements are not met, candidates may be considered, however the expectation would be that they be met within 5 years of employment.

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical solutions.

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to consistently apply rules for classification of assets.

Technology Skills
Beginner Level Skills: Be familiar with basic hardware. Create a simple text document in MS Word. Use and maintain voice mail. Use file manager. Use and maintain a personal calendar.
