Assistant Controller/Payroll Manager

DESCRIPTION
Position Description:
Apply principles of accounting to analyze financial information to maintain general ledger accuracy, support external reporting, and enhance internal control procedures. Process payroll records and reports, including hourly timesheets, payroll authorizations for wage changes and stipend payments. Independent judgement is required to plan, prioritize and organize a diversified workload.

Position Status: Full-time, Exempt, 12 months per year

Position Responsibilities:

  • Reconcile monthly bank statements to general ledger cash balance, analyze, and prepare entries to reconcile as required.
  • Prepare journal vouchers to post transactions to the general ledger.
  • Review outstanding accounts receivable on a regular basis.
  • Supervise and coordinate the process of IRS compliance, such as 1099 reporting and W-2 processing.
  • Reconcile general ledger to sources of transactions and prepare adjusting entries.
  • Assist in the annual audit process.
  • Report unclaimed property annually.
  • Support the activities of cashiering, accounts payable, and accounts receivable where applicable.
  • Process and review bi-weekly payroll and reconcile payroll entry to general ledger accounts.
  • Process and enter stipends, longevity payments, shift differentials, contractual wage increases, faculty overload payments, voluntarily deductions and payments, wage garnishments, and employee schedule changes.
  • Calculate and report part-time faculty load each term.
  • Issue manual checks and process voided checks as necessary.
  • Process payments for payroll withholding taxes and sales tax.
  • Prepare quarterly Federal 941 reports.
  • Stay current on all new payroll requirements.
  • Perform other duties as assigned.
POSITION REQUIREMENTS
Position Qualifications:
  • Bachelor’s Degree in Business Administration or Management with a minimum of 18 credit hours in Accounting required.
  • Must possess knowledge generally acquired through 1 – 3 years of prior work experience in an accounting office.
  • Demonstrated ability in processing all types of accounting transactions with a very high level of accuracy.
  • Demonstrated knowledge of payroll principles, practices, regulations and procedures required.
  • Minimum of 2 – 3 years of payroll processing experience preferred.
  • Knowledge of accounting principles of a community college preferred.
  • Demonstrated interpersonal and organizational skills required.
  • Demonstrated advanced skills in computer word processing, spreadsheets, and database management required.
  • Ability to use independent judgement to solve problems, organize and prioritize tasks to meet deadlines, adapt to changing priorities and follow up on assignments.
  • Ability to work with confidential information required.
