Position Summary

Provides clerical and customer service support for the Office of the Dean of Fordham College Rose Hill.

Essential Functions

  • Provides clerical and customer service support for the Office of the Dean, including handling initial telephone and email inquiries, greeting visitors, processing mail, scanning and copying, and scheduling appointments.
  • As required and requested, provides primary support for one or more areas of the office (e.g., Advising Center, Communications and Events, Curriculum and Courses, Experiential Learning, Student Support and Success).
  • ·Monitors corporate email addresses as assigned, responding to routine inquiries and forwarding complex questions as needed.
  • Provides clerical support to certain areas of the Dean’s Office, as needed, during course registration days and other high-volume periods.
  • Maintains confidential records relating to the academic progress of current students.
  • Monitors, reviews, and routes student submissions for standard requests.
  • Serves as support for other areas of the office when other clerical staff are absent.
  • Reserves rooms, orders food and beverages, maintains inventory of supplies for day-to-day operations and for special events
  • Provides clerical support for special projects as needed, including but not limited to the Committee on Health Professions, Sigma Xi, Undergraduate Research, Matteo Ricci Seminar, Dean’s List Ceremony, Awards Ceremony, Diploma Ceremony, etc.
  • Using the Fordham Messaging Platform, drafts and sends emails to large groups.
  • Uses Banner, Salesforce, and other platforms as appropriate, and as trained, to run regular student progress reports.
  • Assists with event planning and implementation for all Dean’s Office events, including but not limited to academic orientation, research events, and diploma ceremonies.
  • Performs other duties as assigned.

Required Qualifications

  • High School Diploma or Equivalent.
  • One to three years of clerical / secretarial experience or equivalent, preferably in higher education.
  • Superior customer service orientation; comfortable in interacting with students, faculty, and staff in a professional and efficient manner.
  • Strong technical skills using Microsoft Office Suite, G Workspace (including Calendar and Drive), and Zoom; willingness and interest in training for other software.
  • Excellent organizational skills.
  • Ability to maintain discretion and confidentiality.
  • Mandatory Competency Testing.
  • Demonstrated Writing Ability
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
