Position Summary

The Assistant Director for Course Scheduling and Office Management supports the academic operations of Fordham College at Rose Hill (FCRH). The primary responsibility is to lead the process of course scheduling and review for all courses offered by the college for the fall and spring semesters. In addition, the Assistant Director will coordinate daily operations for the FCRH Dean’s Office. The Assistant Director serves as the FCRH Dean’s Office liaison to university offices including Academic Records, Procurement, and Human Resources. The position reports to the Dean of FCRH.

Essential Functions

Course Scheduling

  • Coordinates with Academic Records, departments and programs, and college-level staff to review and prepare semester course offerings.
  • Works closely with course schedulers and staff at Fordham College at Lincoln Center and the Gabelli School of Business on course offerings, course caps, and other aspects of the curricular schedule.
  • Monitors enrollments and works with departments/programs to adjust course offerings accordingly.
  • Communicates with departments and programs, Academic Records, and the Core Curriculum Committee on a regular basis regarding core course proposals and approvals, course scheduling, and course caps.
  • Provides regular reports on student progress through the core curriculum, for course planning and for feedback to the Core Curriculum Committee.
  • Collects, organizes, and maintains departmental files related to courses (e.g., syllabi, final exams).
  • Represents the college on committees such as the Academic Records Committee.

Office Management

  • Works with other areas of the university, including IT and Academic Records, to develop and maintain enterprise-wide forms (Excused Absences, Pass/Fail, etc.).
  • In collaboration with IT, maintains computer (desktop, laptop) records for the dean’s office and ensures timely equipment replacement.
  • Maintains office efficiency by planning and implementing office systems (purchasing, documentation, inventory).
  • Oversees record retention and disposal for the entire office for both paper and digital records, in accordance with Fordham’s policies.
  • Organizes and maintains all time reporting (sick, vacation, etc.) for all staff in the office.
  • Coordinates all staff changes (hiring, onboarding, transitions, etc.), in cooperation with other university offices.

Required Qualifications

  • Bachelor’s degree
  • 3+ years of progressive experience in an independent role, preferably within higher education
  • Proficiency in Microsoft Office Suite and G-Suite. Proficiency in or willingness to learn Banner, web management software, Courseleaf (course approval workflow system), and Salesforce.
  • Ability to balance competing priorities and to negotiate diplomatically with faculty and staff
  • Excellent interpersonal, organizational, and communications skills
  • Commitment to diversity and inclusion
  • Strongly preferred: experience with academic course scheduling
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

Preferred Qualifications

  • Master’s degree preferred
  • Experience with academic course scheduling
  • Knowledge of and commitment to the Jesuit mission in higher education
