Accounts Payable Representative - Finance Division

Job Description


Carnegie Mellon University is searching for a Program and Operations Director for Graduate and Postdoctoral Affairs. This is a dynamic opportunity for someone who is eager to contribute to re-envisioning innovative approaches to support and advance the graduate student and postdoctoral experiences at CMU.
Co-reporting to the Vice Provost for Education and the Vice Provost for Faculty, we are seeking a collaborative, creative, and detail-oriented student-centered professional who brings an equity-minded,. data-informed approach to their daily practice.
The successful candidate for this position will be a strong problem solver who is adaptable to change, comfortable giving and receiving feedback, and able to navigate confidential matters and decision making in the face of urgency and uncertainty.
The Program and Operations Director for Graduate and Postdoctoral Affairs collaborates with the leadership team as well as academic and administrative partners to coordinate and support the development and implementation of processes, events, resources and services to enhance the graduate student and postdoctoral experiences at both individual and collective levels.

Primary responsibilities include:

Programs and Events

  • Partner to design and implement a comprehensive slate of professional development programs for masters and Ph.D. students and postdoctoral fellows with long-range planning, identifying needs, co-designing programs, securing speakers, marketing, assessing impact, reporting and program budget development and oversight.
  • Organize and plan annual university- wide graduate orientation and onboarding activities (in the fall and spring), including in-person and on-line modules, in collaboration with academic and administrative departments and the Graduate Student Assembly.     
  • Develop university-wide programming for the onboarding, engagement and development of postdoctoral fellows.
  • Contribute to the design of and lead facilitation of the university wide observance of Graduate and Professional Student Appreciation Week.
  • Provide support as needed to other graduate student focused events, such as Innovation with Impact and Three Minute Thesis.
  • Develop and maintain department website content, marketing materials and Canvas onboarding courses.
  • Conduct benchmarking, literature review and internal assessment projects, as needed.

Operational and Administrative

  • Orchestrate Graduate Student Assembly/Provost Conference and Research Funding opportunities, including such tasks as advertising, collecting applications, managing the selection processes, supporting review committee meetings, notifying applicants of outcomes, supporting transfer of funds and tracking participation and outcomes.
  • Assist with logistics and agenda for regular meetings such as Associate Deans of Graduate Programs and Graduate Program Coordinators.
  • Contribute to administration of Presidential Fellowship, NSF Pre-Doctoral Fellowships and President’s Postdoctoral Fellowship Programs.

General Departmental

  • Serve as initial point of contact for Office of Graduate and Postdoctoral Affairs and triage direct response or engagement of others to address inquiries or issues, as appropriate.
  • Serve as liaison for key campus partnerships (i.e., Student Academic Success Center, Career and Professional Development Center, Eberly Center and Graduate Student Assembly) to expand professional and career-oriented programs for graduate students.         
  • Review issues and needs for improving conditions related to graduate student life, – including mentorship, career development, parenting, and health and welfare.
  • Collaborate with partners in Student Affairs to support Domestic Partner Registration; Student Maternity Accommodations Protocol; and student emergency funding.
  • Provide support for special projects and other duties with  the offices of the Vice Provost for Education, Associate Vice President for Student Affairs and the Vice Provost for Faculty.

Qualifications:

PhD or terminal graduate degree preferred and 5-8 Years of relevant experience or a combination of education and experience that demonstrates comparable knowledge
