Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Program Administrator Supervisor for the Institute for Families (IFF). The Supervisor of Operations supports activities for Grow NJ Kids Training Services, an initiative that develops, delivers, and evaluates training for professionals employed in the State’s early care and education network by serving center-, school- and home-based programs participating in Grow NJ Kids, a national effort to raise the quality of childcare and early learning through a Quality Rating and Improvement System (QRIS). Grow NJ Kids Training Services manages training and education services to strengthen the early childhood and education workforce, enhance the quality of early education programs, and fulfil the requirements of the QRIS and reinforce quality care and learning. This professional is responsible for coordinating daily project activities, assuring compliance with grant mandates, providing technical, administrative, and logistical support for early childhood programs related to training education offered through GNJKTS; reviewing training content, supporting trainer professional development, and interfacing with all stakeholders of the project to ensure bi-directional communication and collaboration. This position will support program management in policy review, procedure updates, and overall program administration. The Supervisor of Operations supervises a team of Project Coordinators responsible for the daily operations, scheduling, and coordination of training activities.
Among the key duties of this position are the following:
  • Provides daily technical, administrative, and logistical support to the GNJKTS to support early childhood programming.
  • Forecasts and implements the training schedule.
  • Coordinates with GNJK management team and outside vendors to ensure the organization of site operations, online learning platforms, appointments, meetings, training sessions, and special events.
  • Collaborates with leadership to keep abreast of curriculum changes, site needs, and potential conflicts.
  • Oversees team that handles logistics for all training sessions conducted, including, collaborating with management to plan, organize, and staff training sessions; coordinates planning and needs assessment activities; interfaces with committees, consultants, trainees, instructors, and vendors; creating training materials, i.e., program advertisements, flyers and announcements.
  • Oversees the process of: selecting training venues/online platforms, processing inquiries for training sessions, monitors new trainings and makes updates to the GNJK website and learning management system, oversees the printing or electronic handout materials and coordinates with support in these tasks, supports vendor relationships, manages the Grow NJ Kids Training Services calendar along with other platforms used to track training sessions.
  • Supervises, directs and assigns duties to the Program Coordinators assigned to support overall program operations and training logistics.
  • Develops staff workplans, monitors and evaluates job performance and develops performance improvement plans as necessary.
  • Makes assignments on number of training sessions to be scheduled, assignment of venues/online platform, and trainers to these courses.
  • Carries out other duties as assigned while representing the program, office/division and IFF with highest level of professionalism and teamwork in dealings with program participants, agencies, SSW and the public.
  • Other duties include, but not limited to participation in IFF committees ; participation in team meetings, training update meetings, conferences promoting GNJKTS, and SSW/IFF events and meetings as schedule permits.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Requires a bachelor’s degree or an equivalent combination of education and/or experience that demonstrates knowledge of information management, office administration, work organization and coordination, and ability to think critically.
  • A minimum of seven years of administrative experience in increasingly responsible positions.
Certifications/Licenses
  • Use of personal vehicle in order to travel for business demands; a valid driver’s license would be required for this position.
Required Knowledge, Skills, and Abilities
  • Ability to work independently and to project a professional image and represent the Institute for Families effectively to executive level external and internal constituencies.
  • Ability to supervise a team of Project Coordinators.
  • Outstanding oral and written communication skills.
  • Advanced proficiency with Microsoft Office Suite (Teams, Word, Access, Excel) or comparable products.
  • Ability to work with a great deal of independence and discretion and to keep sensitive matters confidential.
  • Ability to handle a wide variety of tasks simultaneously and maintain calm under pressure.
  • Sustained attention to detail while maintaining awareness of important priorities.
  • Regularly take initiative and always follow-through independently.
  • Ability to manage time and projects in order to complete work thoroughly and on time.
  • Ability to interact effectively with very diverse people and with a wide range of stakeholders.
Preferred Qualifications
  • Experience in coordinating large scale training or education projects.
  • Working knowledge and experience with Microsoft Office software programs.
  • Strong capability of working autonomously to coordinate and provide effective decision making to meet project needs.

  • MS Office software: word processing, database, project management, and spreadsheet applications.
  • Expected to use and be familiar with copier machines, fax, and other office equipment.
