Posting Summary
Rutgers, The State University of New Jersey is seeking a Medical Records Technician in the Medical Records Department at Eric B. Chandler Health Center for Robert Wood Johnson Medical School.
The primary purpose of the Medical Records Technician position is to perform a key role in the compiling and maintenance of all clinical patient medical records by possessing a thorough and up-to-date knowledge of internal record keeping. Answers inquiries for medical records information in accordance with Federal HIPAA guidelines.
Among the key duties of this position are the following:
  • Assembles new medical record folders according to established department guidelines on a weekly basis.
  • Conducts monthly inventory of filing supplies and notifies Manager of shortages. 
  • Prints and reviews daily provider schedules 24 hours in advance of appointment.
  • Locates, retrieves and reconciles medical records against patient appointment schedules.
  • Maintains missing chart list; searches for records reflected on this list throughout the day.
  • Delivers medical records to appropriate clinic area(s) for daily morning and afternoon patient appointment schedules.
  • Pulls medical record for HMO audits, internal studies, case coordination, and quality control by other departments. 
  • Sorts through laboratory/x-ray reports and delivers to appropriate clinic area(s) for nurse/provider review.
  • Upon return of completed laboratory/x-ray report(s), pulls medical record(s) and files in designated section. 
  • Inspects and secures all completed loose laboratory/x-ray reports, progress notes, etc., within medical record(s).
  • Prepares weekly transport of prenatal records to hospital facility for OB patient population.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.  Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility .  Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC).  Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine .  Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Minimum Education and Experience
  • High School Diploma or GED
  • Minimum of three (3) years of experience in a medical records or physician practice setting. 
Required Knowledge, Skills, and Abilities
  • Data entry, typing, use of e-mail, Word, and Excel applications. 
  • Must be able to speak, read, and write English and have excellent oral and written communication skills. 
  • Must be detail-oriented, accurate, and organized. 
  • Requires working with office equipment, patient records, and schedules within a fast-paced environment. 
  • Demonstrated ability to verbally communicate effectively with patient population and facility staff. 
  • Demonstrated ability to proofread and review documents for accuracy. 
Preferred Qualifications
  • Candidates possessing work experience in a Federally Qualified Health Center.

Physical Demands and Work Environment
PHYSICAL DEMANDS: This position requires the ability to stand, walk, use hands to finger, handle or feel, reach with arms and hands and talk or hear over 2/3 of the time; sit, climb or balance, stoop, kneel crouch or crawl under 1/3rd of the time. Physical capacity includes sedentary work, lifting a maximum of twenty (20) pounds. Position requires lifting 10 to 25 pounds up to 1/3rd of time. No special vision requirements. May spend long periods of time in front of a computer monitor.
WORK ENVIRONMENT: Moderate noise (example: business office with computers and printers, light traffic). Subject to frequent interruptions, and pressures due to multiple deadlines.
