The UW Center of Excellence in Neurobiology of Addiction, Pain, and Emotion (NAPE), collaborates with many departments and programs in the University (Department of Anesthesiology and Pain Medicine, Department of Psychiatry and Behavior Sciences; Department of Pharmacology; Department of Biological Structure; Department of Biochemistry; Department of Bioengineering; Graduate Program in Neurosciences and others). It provides shared resources (equipment and reagents) that enhance efficiency and facilitate collaborative research for the study of the effects of opioids and other addictive drugs on neural circuits in brain with the goal of understanding addiction mechanisms and developing novel treatments.

The NAPE Center has an exciting opportunity for a Program Administrator who will report directly to the Director of the NAPE Center in the Department of Pharmacology within the School of Medicine.

This position requires independent decision making, the ability to foresee issues and make recommendation for solution and then implement solutions. The Program Administrator will continually look for opportunities to improve systems, communications, and operations. To be successful, this person must be able to work with a variety of different personalities and be able to foster a relationship of trust and confidence in their abilities.

The individual in this position must be a self-starter, expert time manager and comfortable with a diversity of projects and tasks. The ideal candidate will be someone who quickly gains understanding of all the parts of the mission and goals of the research center and works as a partner with the faculty and administrative leaders to operationalize priorities. They must be able to initiate and see to fulfillment the processes to implement these priorities and be able to prioritize and problem solve the myriad of duties.

NAPE carries out this mission by working to understand the neurobiology of addiction, pain and emotion and provide fundamental research that results in the elimination of suffering from neurobiological system disorders that result in chronic pain, drug and other addictions, and depression. Recognizing this challenging interplay of neurobiology with pain, addiction, and emotions, scientists in various departments have come together in NAPE to explore and understand how the nervous system processes sensory information and how that transmission is affected by chronic pain and mood disorders and to work on neurobiological remedies. This position serves as a vital component to the NAPE Center’s continued success by facilitating support and management of the Center’s projects, programs, and goals.

Toward this end, the Program Administrator will provide leadership and administer the Center’s program, administer the Center’s fiscal procedures, and provide website content management. In so doing, the Program Administrator will serve as a critical hub in support of the individual and collective responsibilities of the co-directors, directors, and staff of the NAPE Center for the efficient functioning of the Center in fulfillment of its mission. Additional responsibilities include leading training & professional development programs for undergraduates, graduate students, and postdoctoral fellows working in the UW NAPE Center.

RESPONSIBILITIES:

The Program Administrator is expected to contribute to the excellence of the Center in the following key areas:

Program Leadership:

• As a member of the Center’s Leadership Team, guide the growth and sustainability of the Center, supporting staff, and prioritizing the research and community-centered activities of the Center.
• Serve as the Center’s liaison to departments and programs in the University (Department of Anesthesiology and Pain Medicine, Department of Psychiatry and Behavior Sciences; Department of Pharmacology; Department of Biological Structure; Department of Biochemistry; Department of Bioengineering; Graduate Program in Neurosciences and others)
• Create and maintain curriculum and teach professional development courses, workshops, and training programs for undergraduates, graduate students and postdoctoral fellows related to the NAPE Center. Topics will include mentorship, research design, oral and written presentation skills, grant writing skills, job search skills, career exploration, laboratory leadership, scientific communication, etc.
• Provide quarterly facilitation of NAPE Center workshop and oversee training programs and invite and manage faculty or guest speakers to participate in training events
• Facilitating communication with internal and external stakeholders by overseeing professional development-related trainee Slack channels; develop and procure career-related resources, including reference materials, books, samples, videos, and links to other resources
• Work with NAPE Center Investigators to develop, organize, and run summer training sessions for Imaging and Genetics training
• Manage operational processes around summer undergraduate student learning participation in the NAPE Center including recruitment of URM trainees
• Continually evaluate programs by tracking outcomes and impact, using program evaluation to modify and improve programs and coordinate training initiatives with other departments, institutes, and campus organizations

Finance:

• In partnership with the NAPE Center PIs and other grants/finance individuals, administer and oversee budgets for various Center activities and serve as the Center’s liaison to finance & administration
• Arrange for purchase/reimbursements related to Center activities and attend budget meetings to ensure fiscal responsibility and accountability with regards to the center’s multiple budgets. Create and communicate fiscal reporting to NAPE Center PIs as needed.
• Ensure compliance with UW, WA state, and federal policies are upheld throughout all activities, seeking input from Department and University resources as necessary.
• Provide regular progress reports and Administrative Core Accomplishments for NIH and other sponsored research organizations to inform prioritization of its activities responsive to its mission and secure continued funding.
• Establish and maintain fiscal policies by participating in the Center’s leadership team’s fiscal planning to help inform budgetary decisions

Manage Digital Communications:

• Contribute, develop, update, and publicize website content to highlight and advance the NAPE Center’s programs, activities, and personnel, including managing the NAPE e-mail listserv and Slack workspace, social media, email, websites, and other channels
• Prepare and implement an outreach strategy and policy to advertise and brand the Center at both the local and national level.

MINIMUM REQUIREMENTS:
• Master’s degree in neuroscience, pharmacology, or similar field.
• 2-3 years of program operational and/or administrative experience with increasing responsibility, preferably in a research setting.
• 2-3 years’ experience in curriculum development, or direct training/facilitation to adult learners.
• 2-3 years’ experience designing or maintaining digital communication tools such as websites and other social media tools/applications.

ADDITIONAL REQUIREMENTS:
• Demonstrated experience using Zoom, Teams, and Microsoft Office Suite products
• Excellent verbal, written, and interpersonal communication skills
• Ability to learn quickly new online and computer-based systems
• Ability to see tasks and projects to conclusion with minimal to no supervision
• Excellent organizational skills including managing multiple tasks while ensuring attention to details, accuracy, and quality results
• Strong problem-solving skills
• Ability to follow-through, think creatively, and work both independently and in teams
• Demonstrated ability to meet deadlines and deal effectively with faculty and staff
• Professional presentation of self, department and office must always be maintained

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

DESIRED

• PhD in neuroscience, pharmacology, or similar field.
• 2+ years of direct experience working with graduate students and/or postdocs on training programs preferred.
• Ability to gain the confidence of research scientists, thought leaders, and other individuals in this field
