Tallahassee Community College is seeking candidates for the position of:

Executive Assistant to the President

Expected hiring range is $50,000 - $61,000 annually. Salary will be commensurate with education, skills, experience and training. TCC offers a competitive benefits package with employer paid health insurance.

The Executive Assistant to the President is responsible for planning, initiating and implementing office management within the Office of the President. Coordinates work with executive leadership and TCC Trustees on the President’s initiatives and events.

KEY RESPONSIBILITIES INCLUDE:

  • Manages the President’s daily schedule arranging for appointments, meetings and conferences making commitments based on personal knowledge of workload and current issues of importance. Coordinates required administrative and logistical needs for each appointment including securing adequate facilities, arranging for needed equipment and maintaining relative meeting material.
  • Coordinates administrative and logistical arrangements for each Board gathering. Provides notices for all meetings of the Board in compliance with current Florida Statutes. Assimilates, does layout and scans items for monthly Board agenda and College Policies for publication and distribution. Works with staff to insure each monthly agenda and College Policies are positioned on the college’s web site for public viewing. Attends routine Board meetings acting as recording secretary for purposes of minute preparation.
  • Serves as the central point of contact for the President’s Office when responding to and resolving general inquiries. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President’s Office, including those of sensitive or confidential nature. Communicates effectively with all levels of management within the college. Maintains routine contact with Board members, civic and business leaders, government officials and dignitaries.
  • Performs administrative tasks and meeting support as assigned by the President which includes managing calendar, coordinating travel, preparing meeting documents, developing correspondence, copying/scanning, creating meeting agendas, scribing minutes, drafting contracts, distributing information, and other similar tasks as assigned. Reviews, sorts and appropriately routes mail directed to the President’s office. Prepares independent responses to routine inquiries. Processes department invoices by way of purchase order, p-card or disbursement requests. Reconciles P-Card expenses monthly. Monitors budgets and requests budget transfers, as needed. Establishes and maintains department filing system and oversees the ordering of office supplies and items needed for upkeep of existing equipment.

APPLICANTS FOR THIS POSITION MUST POSSESS:

  • Bachelor's Degree and four (4) years of business administration, clerical, office administration or related experience. Years of experience can substitute on a year-for-year basis for education. Preference given to those with experience in an educational setting.

  • Knowledge of office procedures for an executive management setting.
  • Knowledge of sentence structure and word usage.
  • Public relations skills.
  • Basic mathematics skills.
  • Skill in reading comprehension.
  • Skill in effective telephone communications.
  • Skill in proofreading.
  • Ability to use independent judgment in coordinating and handling a wide variety of complex administrative and program issues and activities.
  • Ability to use a personal computer and various software programs including word processing, spreadsheet, database, presentation and email in a networked environment.
  • Ability to coordinate official meetings, executive functions, and matters of public nature.
  • Ability to follow oral and written instructions.
  • Ability to communicate effectively, verbally and in writing.
  • Ability to maintain confidentiality and handle sensitive legal issues.
  • Ability to handle multiple priorities and tasks which are complex and broad in nature.
  • Ability to effectively manage time, coordinate meetings and schedule travel arrangements in a fast paced, executive environment.
  • Ability to establish and maintain good relationships with a wide variety of people.
  • Ability to adjust to organizational changes.
  • Ability to evaluate and prepare statistics in various reporting formats.
  • Ability to update technical skills as needed to perform functions of the office.
