The Payroll Specialist performs a wide range of payroll and benefits-related duties for the college. The principal role encompasses the full payroll cycle, including source verification, data collection, timecard review & validation, interface/input with online payroll processing service, pre-submission review, and final submission. Work requires initiative and independent judgment in the application of prescribed policies, procedures, and methods. The Payroll Specialist will perform other duties related to the primary scope of the position as required.

Payroll Functions:

  • Collect bi-weekly timecard information and review for completeness, accuracy and proper authorization
  • Edit reported hours to HR policies to ensure compliance
  • Interface with timecard managers, human resource and staff as necessary to resolve identified issues and to ensure accurately processed payrolls
  • Input and process bi-weekly and monthly payroll through outside vendor
  • Prepare/generate all relevant payroll registers and reports for approval
  • Serve as liaison between the organization and payroll processing service as subject matter expert in platform use and functionality
  • Review and verify all interim and annual payroll reports are complete and submitted timely through payroll processing service
  • Collaborate with payroll processing service to administer garnishments levied against employees and served upon the college
  • Track and record employee PTO
  • Calculate deductions for payroll for voluntary employee benefits.
  • Submit contributions for 403b deductions and match.
  • Maintain data in payroll system necessary to facilitate ACA reporting.

Benefits Functions:

  • Process and follow up on disability and worker’s compensation claims.
  • Review and reconcile benefits invoices to ensure accuracy prior to releasing for payment.

Other Functions:

  • Produce reports essential for Third Party Administrator to produce annual 5500.
  • Maintain accurate records to file EEO-1 report.
  • Participate in audits, i.e., retirement plan, worker’s compensation.
  • File payroll documents in appropriate personnel file
  • Assist annually with updating Employee Handbook.
  • Attend job-related seminars and webinars to remain knowledgeable regarding changes to laws related to payroll and benefits.
  • Other duties as assigned.
Requirements:
  • Bachelor's degree strongly preferred
  • Minimum of 3 years of payroll experience required, preferably in a school setting
  • Certified Payroll Professional preferred
  • Excellent interpersonal, verbal, and written communications skills
  • Working knowledge and use of Microsoft Excel, Word, and Mail Merges
  • Ability to organize and prioritize tasks to meet deadlines
  • Can work independently as well as with others, while maintaining a high level of confidentiality
