The Department of Resident Life serves a highly diverse population of approximately 12,500 undergraduate students living in traditional residence halls, apartments, and suites including some public/private partnership apartment communities. About 46% of all resident students are enrolled in twelve living-learning programs covering a wide array of academic areas. Resident Life employs a diverse workforce of 95 full-time and graduate staff members and about 600 undergraduate student staff members. General Description of Duties
The Program Management Specialist supports the office management and administrative work of the Department of Resident Life Director’s suite and business support units. This position has primary responsibilities for reception and office management for two nearby areas including front desk reception and coverage, organizing the physical spaces, purchasing supplies, and maintaining budgets. The employee will supervise a small staff of undergraduate Office Assistant who assist with office coverage. The Program Management Specialist will also provide administrative support for the Resident Life Director’s suite and business support units. This will include such activities as distribution of paychecks, assisting with student payroll enrollment appointments, office key management, assistance with candidate travel arrangements, maintaining copier count tracking and scheduling appointments.
This position is not eligible for regular telework.

EXPERIENCE: Four years experience in administrative staff work.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES:
Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities.
OTHER:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

- Experience in payroll, accounting, finance, or business administration within a higher education environment. Experience with PHR, BPM, KFS, Workday, and/or Concur.
- Knowledge of State and University policies, procedures and guidelines related to payroll, budget management, purchasing and procurement, and travel management.
- Customer service orientation and ability to interact with students, staff, and the public in a courteous and efficient manner.
- Ability to operate in a dynamic work environment that requires a high level of confidentiality. Computer proficiency required, including competency in Google Suite, Excel, Word and other commonly used office software.
- Strong organizational skills.
