The College of Sciences (COS) is home to six departments: Physics, Chemistry, Mathematics, Statistics, Biological Sciences, and Marine Earth and Atmospheric Sciences. In addition there are several Centers focused on research and graduate student training (Bioinformatics Research Center, Center for Research in Scientific Computation), as well as strong outreach efforts, such as the Science House and strong partnership with the State Museum of Natural Sciences. The State Climate Office of North Carolina is also part of the college. The faculty, staff, and students of the College of Sciences are committed to excellence in research, teaching and learning, and public service. Our focus on multi-disciplinary collaboration builds a foundation of experience that well prepares students for the real world. Essential Job Duties

The Associate Dean for Administration (ADA), reporting to the Dean of the College of Sciences, serves as a key member of the Dean’s Leadership team, providing college-wide leadership of administrative processes, and faculty affairs and resource management. The ADA will oversee faculty affairs, the academic aspects of facilities, and college resources.

The College seeks an individual who is well-organized and able to manage many administrative duties in parallel. The incumbent must work well under pressure and maintain composure. The person must have excellent verbal and written communication skills and, in particular, the ability to articulately communicate COS’ and the Deans’ point of view regarding policy and decisions without ambiguity. This person is expected to be a key resource on all faculty affairs activities for College administration, center directors, department heads, and unit leaders. The incumbent must be motivated by life-long learning, solving challenging issues, and improving the operations of the organization.

The successful candidate is the point of contact for all faculty administrative processes including position requests, post-tenure review, faculty mentoring, conflict of interest reviews, scholarly leave, faculty awards, faculty orientation, university faculty scholars program, faculty appointment, start-up and retention and others, in collaboration with the Assistant Dean of Culture, Talent, and Human Resources, Assistant Dean of Finance and Business Management, the Provost’s Office, College Leadership, and other offices as required. They are also expected to coordinate new professorships of distinction with appropriate college and university offices.

The person will help oversee the continued implementation of the College strategic plan and culture charter. They will monitor and report the achievement of plan goals on an annual basis. Lead and coordinate organizational changes as charged by the Dean. In addition, oversee the College’s Business Continuity Plan and serve as College liaison to University offices.

The successful candidate will work closely with the Assistant Dean of Finance and Business Management and Assistant Dean for Human Resources with the management and forward planning of capital resources.

In collaboration with the COS Executive Assistant the ADA will: coordinate five-year reviews of academic department heads and associate deans; oversee internal and external reviews of departments and programs; manage the annual administrative review process for the Dean; administer and certify compliance with faculty activity reporting, SFRs, Plans of Work, Impact Statements, and other programs as needed; and facilitate searches for College Leadership positions and faculty searches (as needed) in partnership with COS Human Resources and other college-level units as appropriate; coordinate college-level standing committees.

The ADA will oversee and supervise the Director of Facilities and Operations for repairs and renovations, capital improvements, facility modifications, space assignments, and space inventory. This also includes working with the Director of Facilities and Operations on university facilities to maintain an up-to-date working inventory of all college space assignments including off-campus sites, master plans, and other facilities requirements.

As directed by the Dean, the ADA will attend and represent the Dean’s Office and COS at internal and external meetings, and serve on university-level committees.

This position is for current permanent NC State University employees only. Senior Professional Faculty ranks and any professorial track of Associate Professor or higher are encouraged to apply.

Other Responsibilities

The position will serve as a centralized point of contact for the college with the Vice Provost of Faculty Affairs and the Office of Faculty Excellence, optimizing the relationship with these units to better serve faculty, and ultimately raise quality with regard to both research and teaching.

Minimum Education and Experience

The Candidate must have an earned doctorate or other terminal degree.

Other Required Qualifications

  • Candidates should have significant experience and demonstrable skills in leading and managing progressive change in complex environments such as those that exist within a modern land-grant university.
  • Candidates should have a deep understanding of current and emerging challenges and opportunities in the sciences.
  • Demonstrated experience administering administrative processes.
  • Demonstrated experience in faculty affairs, including faculty mentoring.
  • Outstanding verbal and written communication skills.
  • Ability to serve as ombudsperson for internal and external clientele, troubleshooting and resolving complex matters on behalf of the Dean.
  • Exceptional attention to detail.
  • The position is highly collaborative and requires exceptional interpersonal skills, diplomacy, and discretion.
