Assistant Director of Facilities
Job Description
Under the general direction of the Director of Facilities & Capital Projects, the Assistant Director of Facilities & Capital Projects coordinates the execution and documentation of Capital Projects, Minor Improvements, Space Planning, Facility Operations, Mail Services, and Emergency Preparedness coordination/training using specific knowledge and experience.
The position also manages and facilitates employee access, facility work orders, departmental purchasing, inventory management, surplus, motor pool, departmental alerts and coordination of updates on departmental website. The position exercises independent judgment in interpreting and applying rules and regulations to the above and independently advises students, staff, program participants and/or the public regarding program content, policies, procedures and activities.

Initial Salary: $80,255.20 (Includes 5% King County Premium Pay) Annually
Supervising Position: Director of Facilities
Essential Duties
Essential Duties and Responsibilities:
- Manage the overall program support function for the Facilities Department, including processing invoices for payment and financial system entry and reconciliation.
- Issue work order requests and use work order system to run reports and analyze data.
- Estimate annual budgets for facilities operations and utilities, track expenditures on an ongoing basis.
- Using Word, Excel, Megamations and other database programs or software, perform the daily maintenance and monthly reconciliation of expenditures in the annual Custodial, Maintenance, Grounds, Physical Plant and Utilities budgets.
- Order supplies and equipment.
- Perform complex scheduling of projects and work order requests.
- Track and reconcile Facilities credit cards, DOT cards, mileage and other equipment use logs.
- Provide guidance, training, and supervision as assigned, to student workers, interns, and volunteers.
- Coordinate with vendors for annual alarm and equipment testing.
- Communicate effectively with multiple vendors about repairs, minor projects, and emergency work.
- Work with regulatory agencies to comply with state and local code and regulations.
- Maintain staff training logs; coordinate staff onboarding and annual training.
- Serve as communications liaison between facilities, the campus community, and UW-Bothell.
- Develop and establish procedures to implement new programs and/or activities; formulate and develop new program policies and practices.
- Ensure compliance with safety regulations, the Facilities and Operations Accident Prevention Plan, and preventive maintenance plan.
- Assist with State reporting requirements such as Facilities Portfolio Management Tool (FPMT) and DirectLine (Megamations).
- Sustainability: Keep track of all GHG (Green House Gas) emission information, keep track of any sustainability facility issues, and work with various departments and instructors to coordinate sustainability changes to campus and sustainability related projects.
- Event Services: Act as backup for event staff, show potential clients event spaces, help coordinate event if needed, aid with creation of new forms and other duties if necessary
Performs other related duties of a similar nature or level as assigned.
Minimum Qualifications:
- Bachelor¿s degree, or an equivalent combination of experience and education in Facilities operations, project management or business management or a closely related field.
- Two or more years of related professional experience or training with Fiscal tracking, including reconciliation of complex budgets.
- Demonstrated strong organizational skills and ability to handle multiple tasks simultaneously and determine priorities
- Demonstrated strong interpersonal, telephone, email, and other people facing customer service skill and ability
- Experience with WA ctcLink system or purchasing experience
- Demonstrated Project Management skills.
- Excellent written and verbal communication.
- Valid WA State driver¿s license.
- Demonstrated commitment to and interest in diversity, equity and inclusion and the ability to support a multicultural workplace and educational environment
Preferred Qualifications:
- Familiarity with State funding and purchasing and procurement guidelines.
- Knowledge of State contract requirements.
- Use of CAD or another computer aided system for creation and maintenance of building floor plans and other mapping.
- Proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, or similar productivity software
- Ability to work independently
Physical Work Environment
Semi-Sedentary Work: Involves staying in a stationary position to a significant degree. Jobs are sedentary if moving is required only occasionally and all other sedentary criteria are met.
The College is currently in hybrid operations, with many assignments completed in an online environment during this time. Full-time employees are expected to be on-campus at least three (3) days per week with the option to work remotely for the remainder of their working days. Employees will need to provide their own remote workspace and internet access, noting the College will provide technical equipment and support for online work needs. During on-campus operations, this position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus and requires the ability to communicate in person or through appropriate means.
Positions in this class typically require operating a computer, communicating, observing, and repetitive motions.
This position involves exerting between 10-30 pounds of force occasionally and/or a negligible amount of force frequently to transport, put, install, remove, or otherwise move objects, with or without reasonable accommodation.
