About the Department

The primary function of the Office of Undergraduate Admissions is to identify, attract and enroll first year and transfer students with outstanding academic ability and potential. The department’s efforts are commensurate with NC State’s annual and long-term enrollment goals for the university.

Essential Job Duties

As the Associate Director of Operations and Application Review, this position is accountable for all aspects of admissions operations, application review and candidate selection by developing and articulating admissions processing policies and procedures to admissions staff, campus partners, students, parents and counselors. This includes training the admissions processing unit; designing and implementing a workflow plan for admissions processing to include the successful processing of more than 50,000 undergraduate applications annually; oversight of the review and selection process of applicants; providing leadership to staff and embodying a best practices approach to customer service and student advocacy; working closely with all enrollment offices and other campus offices to achieve coordinated communication.

The associate director will review academic credentials of first-year and transfer applicants to make appropriate admissions decisions, based on a holistic review of the application and supporting documents, including specific degree requirements and student characteristics which would indicate success in these areas of study. This work requires in-depth analysis and counseling skills along with independent judgment and discretion to render appropriate admissions decisions in an increasingly competitive market. This position will work closely with admissions leadership to finalize and disseminate admission decisions.

This position’s oversight of first year and transfer processing includes the workflow, documents and data flow to and from various systems. The associate director will collaborate with multiple stakeholders in various departments (including technology and communications) to ensure a smooth experience for students and families and ensure application materials and transfer credits are processed in a timely manner.

Duties include:
  • Review academic credentials of freshmen and transfer applicants to make appropriate admissions decisions, based on a holistic review of the application and supporting documents, including specific degree requirements and student characteristics which would indicate success in these areas of study. Work requires in-depth analysis and counseling skills along with independent judgment and discretion to render appropriate admissions decisions in an increasingly competitive market.
  • Represent NC State to prospective students, parents and counselors by participating in events such as high school visits, college fairs, receptions, etc. There is extensive contact with the public by phone, email or in person. The position counsels prospective students as needed, providing information about the university and its programs of study and admission standards, policies and procedures.
  • Recruitment activities will involve occasional travel, both in state and out of state, as well as public speaking. Weekend and evening work will be required occasionally.

Other Responsibilities

  • Conduct information sessions on campus for prospective students and their parents.
  • Other responsibilities will include oversight of major admissions projects as assigned, including attending meetings with university faculty and various university committees to represent the Office of Undergraduate Admissions.

Minimum Education and Experience

  • Require post-baccalaureate credentials or a bachelor’s degree plus alternative or equivalent professional training and experience may be substituted for the advanced degree on an exceptional basis.

  • Ability to work in a fast-paced environment and handle multiple projects
  • Computer proficiency – must be knowledgeable in the use of computerized management information systems (databases)
  • Demonstrated ability to make accurate and consistent interpretations of a broad variety of academic and/or administrative policies and procedures
  • Ability to exercise good judgment and discretion, particularly in matters relative to sensitive or confidential student records, personnel or organizational matters
  • Work requires in-depth analysis and counseling skills along with independent judgment and discretion to render appropriate admissions decisions in an increasingly competitive market
  • Flexibility to travel on occasion based on office needs
  • Ability to lift up to 30 lbs occasionally, with or without reasonable accommodation

Preferred Qualifications

  • Five plus years experience in university admissions or related area
  • Experience in a university work setting
  • Experience in a supervisory position
  • Experience working in a CRM

Required License(s) or Certification(s)

  • A valid North Carolina driver’s license or the ability to obtain one within 60 days of start date. Driver’s license must be maintained as a condition of employment.
