Job Description

This position will work a hybrid schedule which includes a combination of working both onsite on Campus and remote.

DESCRIPTION

The Department of Surgery is one of the largest departments in the School of Medicine and is comprised of 102 full time faculty members, 220 voluntary faculty members, 20 physicians employed on MSP agreements, 25 doctors employed by the VA or other facilities, 77 accredited and 13 non-accredited trainees and 100 career staff. Activities are organized in 13 sub-specialty divisions. Annual expenditures across the Department total over $66.5M with a global research portfolio of over $19M. The missions of research, education and patient care are intertwined, and are integral to the goals of the department.

Under supervision of the Division Administrator, incumbent will support the Division of Trauma, Surgical Critical Care and Burns operations including fiscal management, human resources, information technology, academic and clinical personnel support, space planning, equipment management, website management, coordinate onboarding for faculty, staff, and visiting observers, responsible for procurement, reimbursement and reconciliation for the division, and all other duties as assigned.

The incumbent will design and generate monthly and ad hoc reports for statistical and administrative use. Generate and review financial data pertaining to division operations and research funds. Incumbent will be responsible for coordinating and planning meetings, events, and conferences.

Act as liaison between UCSD department offices and administration. Triage correspondence and telephone calls, draft correspondence, prepare reports, and interpret campus policies and procedures as they pertain to the accomplishments of the division.

Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.

Position requires tact and strict confidentiality in the handling of sensitive information, as well as independent judgment and organizational skills to prioritize demands of the Division faculty and leadership.

MINIMUM QUALIFICATIONS
  • Six (6) years of related experience, education/training, OR a Bachelor's degree in related area plus two (2) years of related experience/training.

  • Ability to use sound judgment in responding to issues and concerns. Analytic skills to recognize problems, present alternatives, implement solutions and follow-through to ensure effective change.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Excellent interpersonal skills with strong, demonstrated ability to communicate orally and in writing. Possess skills of tact, poise, diplomacy, confidentiality and hospitality with a diverse population of staff, faculty, industry, and the community in a high pressure and demanding environment.

  • Solid organizational skills and ability to multi-task with demanding timeframes. Demonstrated knowledge and experience in academic and business administration with strong organization management skills. Demonstrated ability to initiate and track complex issues and projects to completion. Ability to keep records and to maintain records in a neat and orderly fashion.

  • Working knowledge of common organization-specific and other computer application programs. Demonstrated experience with computerized systems, database management and spreadsheet and word-processing programs to manipulate data and create reports.

  • Ability to use discretion and maintain confidentiality.

  • Demonstrated ability to resolve conflicts with creativity and authority while maintaining a professional relationship. Ability to control situations or events in the absence of higher authority and ability to make recommendations or decisions that affect office operations and activities.

  • Demonstrated advanced organizational and project management skills, including ability to work independently, determine appropriate priorities, and complete projects accurately, efficiently, and with a high level of attention to details, despite competing deadlines.

  • Skill in independently researching, compiling, organizing, interpreting and selecting data and materials from various sources. Ability to accurately interpret and implement policies and procedures and effectively communicate and disseminate information.

PREFERRED QUALIFICATIONS
  • Knowledge of UCSD Systems including, Oracle Financial Cloud, Concur, PADUA, BLINK and IPPS.

  • Knowledge of UCSD policies and procedures, including the willingness to understand and enforce these policies when required.

SPECIAL CONDITIONS
  • Employment is subject to a criminal background check.

  • Must be willing to work occasional evenings and weekends as necessary.

  • Must be willing to work overtime as deadlines may dictate.

Pay Transparency Act

Annual Full Pay Range: $63,580 - $98,282 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.45 - $47.07

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
