ABOUT THIS OPPORTUNITY
The Meruelo Family Center for Career Development (CCD) prepares students for lifelong career readiness by guiding them to discern, pursue, and achieve career goals that align with their values, interests, and skills. We serve all Notre Dame undergraduate and graduate students through in-person and virtual engagement.

The Guest Services Coordinator of the Meruelo Family Center for Career Development is one of two staff members responsible for providing exceptional frontline reception and assistance to students, employers and other guests of our world-class facility on the 5th floor of Duncan Student Center.

In this role, you will be based at one of two reception desks in a heavily-trafficked lobby, actively facilitating the efficient and professional operation of a 40+ room interview center. You will also provide administrative support for a multi-disciplinary team of career services professionals and supervise a team of student employees.

Here are some of the core activities you will be responsible for in our quest to provide world-class customer service for employers, students, and other guests:
  • Serve as a concierge to check-in guests and assess their needs to ensure an unsurpassed experience (e.g. resolve technical issues with web conferencing, make copies, coordinate deliveries, assist with scheduling appointments with faculty and staff, assist with shipping recruiting materials, etc.).
  • Prepare 40+ interview rooms for employer arrival, including the assembly of interview folders (resumes, resources, etc.), preparation of rooms (including preparing technology in rooms for video conference interviews), and maintaining a clean and proper environment for interviews.
  • Ensure hospitality supplies are stocked in our employer lounge.
  • Collaborate with other staff to develop a cohort of student employees who provide support for all aspects of operation of the interview center.
  • Collaborate with other staff to implement an effective and efficient process for engaging employers after their respective uses of the interview center (e.g. send customized surveys, thank you notes, and assist with resolution of any concerns raised by employers)
  • Support a team of administrators with tasks such as scheduling appointments, processing reimbursements, filing, mailings, binder preparation, drafting correspondence, preparing benchmark research documentation, etc.
  • Collaborate with information technology staff, trained student employees, and other administrators to provide a swift response to address technical issues in interview rooms, and maintain inventory of technological supplies for use in our interview rooms.
  • Support other members of the CCD team at major programs (career fairs, networking events, and receptions).
  • Performs other duties as assigned by the Associate Director to ensure the success of the Center, the University, students, and other stakeholders.

Minimum Qualifications

Associate’s degree or up to 3 years of college or technical school required.

Resume must provide sufficient specialized experience (6-12 months minimum) and/or education, skills, and abilities to perform administrative/clerical duties.
  • Friendly and approachable personality.
  • Demonstrated commitment to excellent customer service and enjoy working with college students, alumni, and employers.
  • Appreciation for the importance for diversity and inclusion and creating a welcoming environment for all students and guests.
  • Ability to provide exceptional service in person, via phone, and email.
  • Detail-oriented with excellent time management skills and proven ability to organize and manage multiple priorities.
  • Ability to work collaboratively and tactfully with students and other stakeholders.
  • Demonstrated ability to maintain confidentiality and deal with sensitive matters in a discreet manner.
  • Experience working with a diverse population of college students.
  • Proficiency with Microsoft Office suite of software required. Must have experience working with creating and editing spreadsheets in both Excel and Google Sheets.

Preferred Qualifications

Bachelor’s degree preferred.
