Reporting to the Dean of the College of Arts & Letters, the Advisor will advise the Dean on all aspects of the college’s strategic operations. Execution of these responsibilities involves a variety of roles including managing special projects, recommending strategic activities, writing and editing, research and high level administrative and relationship support functions.
The Advisor to the Dean is a key member of the executive team within the College of Arts & Letters. The Advisor works closely with the Dean on overseeing the implementation of college-wide and cross-college strategic initiatives. This position coordinates special projects, compiles information and provides complete complex reports and analyses.
The Advisor will routinely serve as a representative of the Dean on a variety of committees and initiatives such as consulting on issues pertaining to the strategic advancement and management of the college. The advisor serves as a liaison for the Dean, managing key partnership conversations within the college and other departments on campus. This position will advise the Dean’s efforts by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information, researching strategic issues, writing speeches and preparing the Dean for meetings and events.
A successful candidate will be an excellent writer and skilled strategic communicator with strong relationship skills. Sensitivity to confidential matters, a high level of professionalism, creative problem solving and leadership skills, strong judgment, tact and diplomacy are critical.
Position Responsibilities
- Strategic Planning and College Initiatives:
- Ensure the creation, alignment, monitoring and execution of strategic/annual goals in concert with the Dean.
- Play a critical role in making the Dean’s direct report teams highly focused, strategic and collaborative.
- Lead a variety of cross-functional initiatives, in the advancement of the strategic direction.
- Advising:
- Advise on a wide range of strategic and tactical activities, including where the Dean allocates his/her time.
- Keep the Dean apprised of major issues and identify approaches to resolve issues.
- Provide advice, collaboration, and operational support in response to campus, local and national issues, key projects, trends impacting Notre Dame, issues management, and stakeholder relations.
- Research and provide background material on emerging problems, evaluate material, and propose recommendations leading to the solution of such problems.
- Routinely serve as the representative for Arts and Letters on a variety of University-wide committees and initiatives.
- Communication
- Oversee a broad and extensive list of speaking engagements and presentations (e.g. Trustees, Advisory Councils, Deans & Chairs, etc.) and written correspondence on behalf of the Dean.
- Prepare communication for the Dean’s meetings and events, including speech writing and talking points, presentations, statements, daily correspondence and other written materials in connection with speaking engagements.
- Oversee Dean preparation and delivery as needed.
- Draft a variety of written material and proofread communication for accuracy and clarity.
Minimum Qualifications
Education and Experience:
- Bachelor’s degree required, Masters or PhD preferred.
- 3-4 years experience in a similar position or related field
Skills:
- Significant knowledge of, and experience working in, a highly energized and active work environment, preferably in higher education.
- Exceptional interpersonal and written communication and technical skills required to interact with various internal and external constituencies.
- Experience speech writing and preparing written materials.
- Ability to convey complex issues in simple but accurate terms.
- Attention to detail.
- Demonstrated ability to simultaneously handle and successfully manage multiple tasks and initiatives across organizational units.
- Excellent analytical skills.
- Proven ability to research issues and problems, identify possible remedies, and facilitate the implementation of preferred solutions.
- Trustworthiness and integrity in managing important relationships and highly confidential information.
- Proven ability to successfully work on teams in addressing a variety of issues.
