Academy of Art University is seeking a passionate Human Resources Faculty Coordinator to provide administrative support for the Academy’s Human Resources department, onboarding of Faculty, and demonstrating excellent customer service and confidentiality in the conduct of all job responsibilities. This position requires understanding and application of rules, laws and policies to support faculty initiatives and operations in the human resources department.
 
Onboarding Support
  • Support with the new hire and rehire process steps, including but not limited to, review all HR and Payroll paperwork with new faculty employees and staff (as needed); ensure accurate and timely completion of all such paperwork; accurately answer questions regarding forms and policy.
  • Accurately and timely enter and verify newly hired faculty employment records are created in Workday and Peoplesoft.
  • Ensure timely submission of Payroll related paperwork to the Payroll department for all faculty and staff (as needed) employees.
  • Review and monitor the I-9 Everywhere portal to ensure all faculty and staff (as needed) I-9 documents are completed within the required compliance time frame.
  • Provide Payroll with a copy of the I-9 form and documents for all faculty employees who are an “alien authorized to work”.
  • Ensure all hired faculty with their highest degree from an international institution complete the foreign transcripts evaluation by a member of National Association of Credential Evaluation Services (NACES).
  • Ensure all newly hired faculty employees have accurate and signed employment agreements on file; ensure faculty employee receives a copy of their agreement; answer questions regarding agreement provisions.
  • Create and file each newly hired faculty member’s physical/electronic Personnel File and ensure specific documents are uploaded into the Workday worker profile.
 
Employment & Retention Support
  • Facilitate the Spring and Fall part-time Instructor annual raise process to include gathering the raise recommendations from each Department, submitting recommendations for final approval and communicating approved raises to each Department Director.
  • Support with the request and approval process for compensation changes that are not part of the Spring & Fall raise process, including entering in Workday and generating/issuing the updated faculty employment agreement if requested by faculty member.
  • Assist with final checks and return of company property for all employment separations.
  • Communicate with Academic Departments regarding pending and approved part-time Faculty requests, including compensation changes, class assignment/schedule changes, etc.
  • Conduct monthly audits of part-time faculty DAT & Mid-point Review timesheet entries in collaboration with Academic Departments and the DAT & Mid-point Review administration staff.
  • Monitor and follow-up on expiring employment authorizations for all faculty employees and notify management as needed.
 
HR Compliance
  • Ensure employees are properly informed of their rights, company policies and procedures in a timely manner.
  • Conduct annual audits for all active faculty personnel files to ensure all files are accounted for and in the correct location.
  • Conduct audits for all active I-9s of part-time Instructors to ensure compliance.
  • Maintain confidentiality regarding disclosed health matters and protected health information in compliance with HIPAA regulations
  • Must understand and appropriately apply rules, laws and policies to support the Human Resources Department
 
Department Administrative Support
  • Maintain all faculty employee personnel files, confidential files, and termination files; ensure all faculty employee documents are filed appropriately and in a timely basis.
  • Monitor, respond to and distribute emails in the Faculty@ email inbox.
  • Open, scan and forward all mail received while on site when needed.
  • Audit onboarding email templates and new hire packets each semester for accuracy and make recommendations for updates to the Director of Human Resources.
  • Maintain and update all Faculty documents, policies, etc. on Sharepoint as necessary.
  • Support the Director of Human Resources with processing the notification letters for Course Builders when their Independent Contractor agreement ends early.
  • Assist with final checks and return of company property for all faculty employment separations.
  • Provide daily HR General phone line support when needed.
  • Perform other duties as assigned
 
Qualifications:
 
  • Desire to work in Human Resources in a fast-paced environment.
  • Strong administrative customer service skills.
  • Ability to absorb and learn new processes and procedures.
  • Workday and HR experience is preferred but not required.
  • Proven ability to collaborate with others at all levels of the organization.
  • Excellent verbal and written communication skills.
  • A positive attitude and a personable approach.
  • High adaptability and positive engagement with diverse populations

This role will be fully on-site at 79 New Montgomery
 
Monday – Friday, days

Compensation: $27.00 per hour
